Job Description:

General Description: Under the direction of Health Information Leadership, the HIM Operations Lead will assist in the day-to-day HIM departmental operations activities.  This position serves as on the on-site point of contact when the HIM Leader(s) are off-site.  Acts as a facility liaison for all OU Health HIM locations, as appropriate.

Essential Responsibilities:

  • Functions as point of contact when HIM Leadership is off site.
  • Oversees the daily downloading and production of the HIM Daily Pivot into Excel, which identifies all the accounts on the unbilled with edits or reasons of why an account is not billed which is worked by the  operations team members
  • Utilizes thorough knowledge of ICD10 codes or diagnoses that are seen in the legal health record, including referring to 3M Standalone coding system for obtaining ICD10 codes
  • Monitors operation team members unbilled accounts holding to identify additional strategies or approaches needed to complete accounts
  • Organizes responses to automated e-Requests, identifying what is needed on accounts for claims to drop
  • Knowledge of the electronic medical record and how to navigate to find documentation
  • Reviews records that need to be redacted by de-identifying records to protect sensitive personal health information such as in adoption cases
  • Knowledge of transcription/transcribed reports and the legal health record
  • Knowledge of the Birth Certificate process and legalities concerning paternity
  • Merges medical record numbers after reviewing to insure the integrity of the legal health record is maintained
  • Serves as a member of the  OU Health Forms Committee
  • Serves as a resource to all HIM Operations staff as a Lead, with questions or clarification/recommendation on how to handle situations that arise.
  • Understand all HIM Operations functions/job duties
  • Coordinates HIM Operations employee training and development; as well as identifying and all opportunities for re-educations when needed     Adheres to documented and established EMR workflow guidelines as it relates to managing facility work queues
  • Ensures that discharged patient medical records are retrieved from nursing units and ancillary departments no later than the morning after and reconciled as being received for scanning
  • Ensures  that facility based HIM function productivity and quality standards are maintained or exceeded
  • Interfaces with providers on record completion activities to include any residents that are ending their residency at OU Health
  • Provides training and education to providers of record completion enabling
  • Establishes work flow activities for the operations to make sure any loose reports and/or late documentation received is sent to Document Imaging for scanning
  • Responsible for routing medical record requests to the Release of Information Vendor for processing when identified, as well as answering or clarifying any ROI questions when needed
  • Maintains or exceeds established productivity standards while achieving or exceeding established requirements for accuracy
  • Ensures department activities are in compliance OUMI policies, and external requirements.
  • Responds to inbound/outbound documentation issues as they arrive on a timely basis
  • Serves as an internal and external resource between departments, outside entities, and individuals to ensure protected health information is received, maintained and disclosed in compliance with facility Rules and Regulations

Minimum Qualifications:

Education: High school diploma or equivalency required.

Experience: A minimum of one year of HIM department experience with experience in functions within the HIM Operations required.  

License(s)/Certification(s)/Registration(s) Required: RHIA or RHIT preferred; currently in HIM accredited school program for RHIT/RHIA with certification/registration in 2 years will be considered.

Knowledge, Skills and Abilities:

  • Knowledge of human anatomy and medical terminology
  • Possesses knowledge Privacy of Personal Health Information/Confidentiality
  • Knowledge of the Revenue Cycle process and HIM’s important role in that process
  • Knowledge of what is needed in the legal health record to insure billing is appropriate and compliant
  • Technical skills – ability to apply, review, and educate on equipment and processes
  • Organization – establishing courses of action to ensure that works is completed efficiently; proactively prioritizes assignments and keen ability o multi-task
