Location: 4241 Allendorf Drive in Oakley, 45209 

Purpose: The purpose of the Office Administrator is to provide administrative support and assistance to the operations team. This position will play a crucial role in ensuring successful delivery and maintaining effective communication channels with internal and external stakeholders.

  • Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
  • Manage agendas, travel plans, and appointments as necessary
  • Support bookkeeping and budgeting procedures for the company
  • Support in communication with the purchasing department
  • Create and update databases and records for financial information, personnel, and other data
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
  • Submit reports and prepare proposals and presentations as needed
  • Assist colleagues whenever there is an opportunity to do so. 
  • Communicate effectively with team members, supervisors, and other departments to coordinate material flow, address any inventory-related issues, and ensure efficient operations.
  • Adhere to all safety regulations and guidelines to maintain a safe and clean work environment. Report any hazards or incidents promptly and participate in safety training programs.
  • General administrative tasks that include:
    • Filing and organizing documents and data, answering phone calls, messages, postal and distribution in the company, organizing break area, prepare conference rooms, ordering lunches, managing visitors and vendors
  • Follow Guidelines/Systems
    • Adherence to all management systems.
    • Support for Continuous Improvement (CIP)
  • 6S: Maintain a clean and orderly work area to ensure “tour ready” status
  • Demo kit Coordination: Coordinate the fulfillment of new demo kits by placing orders, collaborating with production teams, and managing logistics to ensure timely shipment.
    • Reconcile demo kit returns and work with Sales Managers on discrepancies.
    • Perform Demo Kit audits on an as requested basis.
  • Other duties as assigned by management

Education and Experience:

  • High school diploma or equivalent
  • Previous warehouse experience a plus

Physical Requirements

  • Ability to work independently and as part of a team
  • Ability to follow proper safety protocols and written instructions
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Ability to handle multiple tasks simultaneously

Physical Requirements:

  • Must be able to push, pull up to 10lbs
  • Must have excellent hand-eye coordination.
