The Senior Assistant Manager, Finance & Operations at the Centre for Teaching, Institute for Pedagogical Innovation, Research & Excellence (InsPIRE) will provide leadership, strategic direction, and management oversight for the Finance & Administration of Shared Services for the InsPIRE Units – InsPIRE, Center for Teaching, Learning & Pedagogy (CTLP), Interdisciplinary Collaborative Core (ICC) Office, Experiential & Collaborative Learning (ECL) Office and Applications of Teaching & Learning Analytics for Students (ATLAS). The incumbent will ensure that the department's finance, accounting, budgeting, and administrative operations functions are effectively and efficiently delivered, aligned with the University's mission and objectives, and in compliance with relevant policies, procedures, and regulations.  The incumbent will assist in other administrative matters in education initiatives such as digitalizing of assessment and education events management.

Responsibilities:

Departmental Administration and Operations

  • Formulate and execute departmental administrative policies, procedures, and guidelines, aligning them with the University's policies and procedures to ensure consistency and compliance

  • Manage the InsPIRE’s daily operations, optimizing resource allocation and enhancing the efficiency and effectiveness of all administrative functions

  • Oversee and streamline administrative functions within InsPIRE, such as inventory management, technical issue resolution, and maintaining a well-organized and clutter-free office environment

Financial Management and Planning

  • Manage departmental budgets, ensuring that all financial transactions are in compliance with relevant policies and regulations

  • Develop financial reports and analyses for decision-making and planning processes

  • Assist with financial management, analysis, planning, projection, and budgetary control

  • Actively manage, lead, and negotiate project contracts with vendors and monitor the fulfilment of contract deliverables

Events and Teaching and Learning-Related Projects

  • Lead and coordinate efforts between workshop trainers, faculty, school/college administrative staff, department administrators, and academic development staff to promote monthly Teaching and Learning Workshops

  • Assist and support InsPIRE events and other initiatives, including events management support and vendor management

  • Oversee and manage the operations of digital assessment platforms, ensuring effective coordination and communication with the involved faculty

Requirements:

  • Degree in STEM or business-related areas

  • Minimum 5 years of experience in a similar role

  • Strong organisational and administrative skills, including experience in managing budgets and financial reporting

  • Expertise in financial management, budgeting, and accounting principles

  • Strong analytical and problem-solving abilities to make informed decisions and recommendations

  • Experienced in educational platform such as blackboard, assessment digitalization platform preferred

  • Knowledge in STEM and related education platform will be a plus

  • Experienced with webpage design including familiarity in HTML, CSS, and JavaScript is a plus
