JOB DESCRIPTION:

Abbott Vascular is recruiting a Sales Assistant based in Diegem. In this role, you will play a key part in ensuring the smooth day-to-day operations of the Sales team, providing high-level administrative and organizational support in a dynamic, international environment.

What You’ll Do

As a Sales Assistant, you will:

  • Provide proactive calendar and travel management for department managers, including direct support to the General Manager
  • Manage day-to-day administrative activities for the Sales department (purchase orders, tenders, and documentation)
  • Coordinate meetings and events, both virtual and on-site (logistics, scheduling, travel, catering, AV setup)
  • Support internal communication by coordinating content and publication of the quarterly Benelux newsletter with external partners
  • Handle incoming communications (emails, calls, correspondence) and prioritize appropriately
  • Attend department and management meetings, prepare minutes and track follow-up actions
  • Collect, consolidate, and maintain departmental data and reporting dashboards
  • Maintain and update internal information tools (e.g., organization charts, notice boards)
  • Provide administrative and coordination support for departmental projects

Who You Are

You are a highly organized and proactive professional who thrives in a fast-paced, international environment and enjoys managing multiple priorities with precision and discretion.

You bring:

  • Native-level Dutch and strong proficiency in French and English
  • Advanced skills in Microsoft Office (Excel, PowerPoint, Word)
  • At least 5 years of experience in a similar administrative role within a complex organization
  • Experience in pharmaceutical or medical device industry (strong asset)
  • Excellent organizational and multitasking abilities with strong attention to detail
  • A proactive mindset with the ability to work independently and take initiative
  • Strong confidentiality and professionalism
  • Experience with project coordination and database management
  • Flexibility and the ability to adapt to changing priorities
  • Strong analytical and critical thinking skills with a problem-solving mindset
