Executive Assistant
For our Heart Failure Division, we are recruiting an Executive Assistant to be based in our EMEA HQ in Zaventem, Belgium.
Key Responsibilities
· Calendar management and travel arrangements for the Divisional Vice President
· Plan, organize and coordinate conference calls, on- and off-site meetings and events (including scheduling, coordinating calendars, full logistics: i.e. hotel, transport, catering, audiovisual equipment, etc.)
· General administration: correspondence, memoranda, reports, minutes, mailings, attendance sheets, contract filing, payment requests, expense claims, assistance with presentations, cost tracking, purchase orders, ordering of office supplies, etc.
· Participate in Management and/or regional and executive team debrief meetings, take minutes and distribute, follow-up on action items, wherever appropriate
· Support to regional and executive leadership team’s related projects such as internal newsletter, kick off meeting, engagement activities…
· Collect, summarize and track departmental information, update notice boards (organization charts, publication overview, dashboard)
· Ensure compliance in reporting product experiences

What experience do you bring?
· Bachelor’s degree with an administrative, commercial or language background or equivalent by experience
· Proven experience in a similar role, ideally in an international matrix environment
· Strong communication and organizational skills.
· You are fluent in English - any other language is an asset
· Computer-literate
