Position Purpose

Directs the activities of the Office of the Provost and Vice-President, Academic Affairs to fully implement its mandates and goals. Establishes and maintains effective channels of communication and continually liaises between various stakeholders and the Office. Works closely with the Provost and with senior leadership on a wide variety of projects and initiatives of strategic importance. Develops and implements organizational plans and business processes, conducts analyses, makes recommendations, supervises and coordinates issues of priority to the University and leads project teams with the objective of meeting strategic objectives while managing financial and human resources responsibly.

Specific Accountabilities

  • Plans, organizes, leads and monitors all initiatives for which the Office of the Provost and Vice-President, Academic Affairs is responsible. Advises the Provost on institutional issues and supports the Vice-President in implementing the University’s mandates.
  • Designs, manages and evaluates various projects and programs in a number of key areas to advance the strategic goals and priority files of the institution, including notably budget planning, student recruitment (domestic and international), undergraduate and graduate programs, student affairs, faculty affairs and continuing education.
  • Advises and supports unit and service leaders for which the Office is responsible by helping them plan and develop their organizations, set policies and procedures, and implement processes to ensure that their operations are efficient and effective and that they adequately meet all requirements. Liaises between the Provost and Vice-President, Academic Affairs, other Vice-Presidents, the Secretary General, the Deputy Provost, Associate Vice-Presidents, Vice-Provosts, Deans, Vice-Deans, service directors and CAOs.
  • Plans and manages the human and financial resources of the Office so that sector’s needs are fully met, the Provost’s activities are executed regularly and consistently, and a healthy workplace atmosphere prevails.
  • Represents the Provost for institutional priority files in direct interaction with internal and external stakeholders, including the President, Deans, Vice-Presidents, Associate Vice-Presidents, unit directors, and makes decisions when necessary on behalf of the Provost. Represents the Provost on various internal and external committees and numerous organizations, occasionally acting as the Provost’s spokesperson with government authorities and external stakeholders.
  • Ensures a strategic watch of external funding opportunities, consults internal stakeholders, develops project proposals, liaises with funding agencies, and coordinates the implementation of funded initiatives, controls activities and expenses to ensure they are aligned with the projects objectives, evaluates results and ensures accountability to funders.  
  • Implements a rigorous, durable management framework for employees under his/her responsibility in order to roll out institutional projects and strategies, including but not limited to, academic planning, student experience, bilingualism and francophone affairs.

Knowledge, Experience and Skills

  • Graduate degree in Management or related field.
  • 10 years of management experience, specifically:
  • experience in creating business plans and planning documents
  • experience in developing organizational performance scorecards (objectives, targets, strategies, performance indicators)
  • experience in project management
  • experience in organizational change management
  • experience in managing financial and human resources
  • In-depth knowledge of university culture and of how a university operates is an asset
  • Inspirational leadership illustrating the ability to foster collaboration and motivate stakeholders and colleagues through innovation and excellence.
  • Builds constructive teams that work well together to achieve results and motivate others to exceed expectations
  • Outstanding communication skills to present and explain a complex ideas and issues to various audiences, both inside and outside the University
  • Excellent skill in writing reports for senior management and various decision-making bodies
  • Ability to evaluate and address complex issues in a clear, thoughtful manner, in order to quickly resolve them without compromising events or relationships
  • Fluency in English and French (spoken and written)
