What this job involves –

Daily Duties

  • Opening (Doors, Turning Lights on, Turning TV on, etc) at 8:45 a.m. Closing at 5:45 p.m.
  • Receiving delivered items and redelivery to certain mailboxes.
  • Shipping mails and goods to branch Offices and Warehouses.
  • Responding to vendors, suppliers, and the building management company.
  • Posting a work notice and a facilities related services notice to the portal web site.
  • Adjusting a work schedule between vendor and user.
  • Obtaining a quote from suppliers and vendors.
  • Ordering Office consumable items from SAP system and directly order to suppliers.
  • Receiving and restocking consumable items to inventory.
  • Refilling consumable items at meeting rooms and pantry areas.
  • Escorting vendors to the designated place when they came for the work.
  • Coordinate with the vendor to complete the job.
  • Answering emails and phone calls from users in efficient manner.
  • Answering incoming phone calls from outside.
  • Responding and carrying out other facility related requests
  • Ordering Business card for requestors.
  • Sending Applied uniform to requestors.
  • Inputting utilities consumption (energy) data into the Intelex.
  • Moving furniture or items when it was necessary.
  • Ad-hoc responsibilities assigned by the Facilities Manager.
  • Renting out facility managing items to requestors.
  • Responding to walk-in requestors at the helpdesk.
  • Managing First-Aid room is clean and tidy all the time.

Invoice processing

  • Purchase Order, Goods Receive, Invoices process by using a Finance management system.
  • Client’s invoice processing.

User Communications

  • Building a trust within users and the team.
  • Responding to user with a hospitality and respect.
  • Sharing and communicating within the team closely.

Attending to local and region conducting meetings.
