Acquisition Co-Ordinator

Position Type: Permeant, Fully Remote, 40hrs per week; Monday – Friday 8:30am-5:00pm

Salary: £26,250 per annum

About the role:

Mears are looking for a Acquisition Co-ordinator to join our Property Acquisitions Team, buying properties across the UK.  This is a great opportunity with our Housing Management business, working on various contracts.  

The Property Acquisitions Team is responsible for acquiring properties for portfolios to ensure we can meet service user demand for our central and local government contracts.  As a coordinator, you will be responsible for ensuring all administration for property purchases is completed accurately and on time to ensure systems and records are up to date and purchases are progressed efficiently.

As a Acqusition Co-ordinator you will be supporting the Property Buyers and Acquisitions Progressors and liaising with third party suppliers such as solicitors, surveyors and works team and other key stakeholders involved in the acquisition process, ensuring the data base is kept up to date with progression of each purchase through the works phase to point of being tenanted.

Roles & Responsibilities:

  • Administer property purchases ensuring all key stakeholders are kept informed of progress of the purchases
  • Conduct market research to identify suitable properties for the property buyers to view
  • Contact agents/sellers to book viewings for the property buyers
  • Instruct, facilitate, monitor and chase external suppliers such as solicitors, valuers, surveyors and contractors
  • To coordinate handover of responsibilities between third party suppliers at key stages to ensure maximum efficiency in the process 
  • Obtain relevant authorisations and signatories required internally and externally throughout the process
  • Ensure IT system is accurately updated with key information and produce timely and accurate KPI reports on the progress of purchases
  • Update utility & freeholder companies with new ownership contact details and register purchase
  • Liaise with internal and external clients to obtain permissions and track dates request have been made
  • Assist the acquisitions progressors with administrational duties regarding recording of offers and acceptances
  • Assist the acquisitions progressors handling calls and enquiries from agents and vendors
  • Ensure electronic files created for each property and all documents relating to the property are filed correctly
  • Inform operational lettings teams of progression of purchases so they can plan to let properties
  • Create new tenant records on  data base and scan and save and file tenancy agreements and other documentation
  • Make sure all relevant documentation is in place before passing properties across to operations team to let.
  • This role is home based, however you may be required to attend an office on occasion for meetings or training.

Role Criteria:

  • Experience of updating and maintaining a data base
  • Office administrational experience is essential for this position
  • Excellent written and verbal communicating skills
  • Ability to prioritise and manage workload to deadlines
  • GCSE A-C in Maths & English (or equivalent)
  • Motivated, able to use own initiative
  • Excellent Knowledge of Microsoft (Word, Excel)
  • The ability to manage effectively in accordance with the organisations policies, procedures and standards

Desirables:

  • Experience of working in a property or housing environment
  • Knowledge of the housing buying process
  • Knowledge of Verco (IT System)
