JOB TITLE: Pricing and Coding CLERK

REPORTING TO: Client Accounts Manager

RESPONSIBLE FOR: Pricing and coding

AREA: SUPPORT (Hospital Operations)

OVERVIEW

The purpose of this position is to serve as a support function to the Management teams by providing an excellent service to our clinical team. The Costing Clerk is accountable for minimising loss of income resulting from missed products and charges and inaccurate estimations whilst maintaining the coding catalogue.

This is a permanent part-time position of 15h per week at Anderson Moores Veterinary Specialists.

This position requires a practical knowledge of the practice’s organisation and services; a practical knowledge of the standard procedures, veterinary records and terminology used in the practice.

Main Purpose & Goals

The management of patient records to ensure that correct charges are applied to minimise losses along with the running of associated reports. To facilitate pricing for veterinary clinicians and nurses from the formulated pricing sheets.

Taking direction from the Client Accounts Manager and Hospital Manager to provide a full range of practice administration activities to facilitate the efficient and effective operation of the Practice in an accurate and consistent manner.

To provide an efficient and seamless transactional service with Linnaeus Central Support team, maintaining good relationships.

Meeting all deadlines set by Central Support and members of the Senior Leadership Team.

Key Responsibilities

Accurate and timely production of administrative delegated tasks, ensuring GDPR compliance at all times.

The checking of hospitalised patient charges to ensure that the appropriate fees have been applied and refer any omissions to the relevant clinical associate.

Input fees and charges arising from clinical procedures using data from costing sheets. Record and report discrepancies between final charge and estimates for training purposes.

Cross-reference charging with clinical notes from surgical and non-surgical procedures. Resolve any discrepancies with the relevant clinician.

Audit each vets consultations fortnightly to ensure pricing continuity in line with Practice policy. Record and feedback to the Senior Leadership Team.

Provide in-house training for new and existing associates regarding the correct way of charging items on the Practice Management System.

Communicate effectively with all Associates at the practice and central support as well as external contacts and clients.

Have a flexible approach to an unpredictable work load, with a willingness to provide support for associates as needed, even if the tasks are not explicitly mentioned in this job description or specific delegated jobs list.

Work to support the purchasing team in tasks relevant to pricing and purchasing.

Work alongside the Client Care and Client Accounts Teams to realise Practice efficiencies.

PERSON SPECIFICATION

A minimum of 12 months administration experience is essential and previous experience in a veterinary/doctor's surgery is desirable. Excellent knowledge in Word, Excel and Outlook.
