Administrative Coordinator

Hours: M-F 7AM - 3:30 PM (some saturdays - a few days will start at 5 AM)

PAY: $23.53/hr

The ideal applicant possesses excellent customer service skills, maturity, integrity, and strong attention to detail. Successful candidates make attendance a priority and are reliable and punctual. Excellent communication skills are a must along with a friendly, professional demeanor. The ideal applicant is self-motivated, able to navigate cross-functional teams, and willing to take the lead on responsibilities.

 

Job Description

  • Daily sales transfer and paper transfers,

  • Plant inventory adjustments internally and to other Plants for billing purpose plus verify all orders have processed without any issues will Bill of Landing.

  • Scheduling LTL less than weight orders and UPS packages to other Plants time sensitive requests. Dealer orders daily with Manhattan Scheduling.

  • Internal Process corrections on inventory floor adjustments and verify all Invoices have accurately processed and billed.

  • Research holds and release orders and put inventory hold due to manufacturing issues.

  • Print Bulk Purchased Orders, Print Rail Cars, Receive Bulk by weight for production inventory.

  • Monitor the plant monthly inventory daily and once a month all mandatory count. include gather of information and research a solution and to assist you in opening an account or help you to resolve a problem if a customer cannot access account or if an order never arrived and result in a service request.

  • Provide customer service to dealers and sales with a cheerful outlook when entering scheduled orders for all plants.

  • Accountable for running monthly reports and keeping order forms maintained with current item information. Additional duties as assigned.

Experience-Education (Required):
High school diploma/GED  

Competencies-Skills (Required):
Proficiency with the MS Office suite of programs. 
Well-developed communication skills, both oral and written. 
High level of initiative for problem resolution and continuous improvement efforts. 
Ability to work with teams cross-functionally. 
Detail oriented.  

Experience-Education (Preferred):
At least 1 year of experience in administrative or customer service desired but not required
Competencies-Skills (Preferred):
Experience with accounts payables in a manufacturing /warehouse environment preferred Experience with ERP systems, preferably JD Edwards/Oracle
Well-developed time management and multi-tasking skills
Ability to communicate in a variety of methods and with a variety of personalities
Ability to deal with ambiguity
Ability to deal with a changing/evolving environment
