We are seeking a passionate, well-organized professional for supporting the US based executive IT team. In this role you will have a unique opportunity to partner with the executive leadership team in IT to liaise and prioritize for a global and dynamic team. You will have the opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of the department. It is important that you possess strong communication skills to manage competing priorities and expectations as well as be a trusted partner in confidential information.
Key responsibilities for this role include:
Providing administrative assistance for writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
Managing the executives’ calendars, including making appointments and prioritizing sensitive matters.
Process and approve departmental invoices and purchase orders using SAP and other tools; exercise delegated approval authority per direction of the executive and consistent with Company policies.
Enter contract requests into Legal Contracts Management (“LCM”) system and monitor review and approval process.
Prepare PowerPoint presentations and MS Excel spreadsheets and develop other materials as needed for meetings.
Interact in a highly professional manner and communicate daily with executive staff, candidates, external customers/clients and corporate-wide personnel.
Maintaining comprehensive and accurate notes and records
Performing minor accounting duties such as PO creation and approval monitoring.
Serve as a liaison between the Executive and their direct reports, as well as within the Senior Management team.
Answer incoming telephone calls and handle accordingly. Must be able to handle confidential and time sensitive data.
Coordinate executive meetings, telephone conference calls, and departmental meetings including scheduling, sending reminders, and organizing catering when necessary.
Handle business travel, hotel reservations, and expense report filing.
Scheduling visitors with security and coordinating their access to the building. Welcome the visitors and show them to their meeting location as well as escort them to security after the meeting to check out.
Providing assistance with contractors onboarding in large IT programs
Perform other administrative duties that include the scheduling of staff appointments for the Executive, proofreading, opening and screening mail, routine typing, filing, photo copying and other essential duties as assigned.
The minimum qualifications for this role are:
Bachelor’s degree preferred. Related experience and/or education may be considered.
3-4 years of administrative experience preferred.
Must possess knowledge of departmental policies and procedures, the inter-workings of the departments, and computer software tools for reporting, word processing, spreadsheets, and presentations.
Must possess advanced administrative skills, excellent organization, interpersonal and time management skills, and outstanding verbal and written communication skills.
Must have discretion to handle confidential and time sensitive information.
Must have a strong work ethic and consensus gathering skills.
Must possess strong computer skills and be proficient within the Microsoft Office Suite.
Proficiency in speaking, comprehending, reading and writing English is required.
This role has flexibility for a hybrid working arrangement.
