OVERVIEW:
This role will be supporting our Corporate Talent Acquisition team. It will be primarily working with/ scheduling for our technology recruiters.
The Recruiting Assistant works closely with recruiters, hiring managers and job candidates. Coordinate schedules and candidate interviews, arrange all travel itineraries and communicate information to all parties involved. Manage the flow of candidates throughout the recruitment process, from scheduling interviews to setting new employees up for their first day orientation. Responsible for timely payment of invoices and evaluating ways to improve the candidate experience.
This will be a full time hybrid role located at our corporate office in Coraopolis, PA (remote on Monday and Friday, in office Tuesday-Thursday).
Scheduling
Manage and maintain calendars for recruiters via Microsoft Outlook
Coordinate and schedule phone, onsite and web-based interviews and keep a complete record of interview
Provide timely communication to recruiters, hiring teams, AA’s and candidates throughout the recruitment process
Travel
Coordinate airfare and hotel arrangements for travel candidates
Collect receipts and reimburse candidates for travel expenses
Send out travel survey questionnaire to get feedback on ways to improve
Orientation/New Hires
Communicate with hiring managers and new employees regarding orientation
Welcome new hires weekly, complete Section 2 of the I-9 process, have badges made
Invoices/Bill
Responsible for paying invoices from hotels, staffing agencies, etc. in a timely manner
Candidate Experience
Collect data from New Hire and Travel surveys and evaluate responses
Keep interview rooms and lobby tidy and stocked with beverages and snacks
Greet candidates and give tours of the building
Miscellaneous
Work on special projects to help improve the candidate experience
Help University Relations team as needed
Other related responsibilities as per business needs
QUALIFICATIONS:
Bachelors degree preferred
1-3 years of relevant experience
Strong experience in Microsoft Suite, especially Microsoft Outlook and Teams
Ability to multitask
Continuous improvement mindset
Problem solving and troubleshooting capabilities
Excellent listener
Team oriented
Confidence in dealing with Senior Management
Excellent time management
Strong attention to detail
