Job Summary
Responsible for scheduling health instructor/screener staff and entering the associated payroll for various health promotion programs under the direction of department program coordinators. Provides ongoing administrative support for various health promotion projects as directed. Responsible for office coordination duties requiring a wide range of complex functions including utilizing Microsoft Office, corporate purchasing procedures, and record-keeping procedures.
Essential Functions
- Coordinates complex schedule of health instructor/screener staff for multiple community health programs. Includes communicating frequently with staff, monitoring availability, sending schedules, confirming assignments and arranging pick-up/return of equipment and supplies.
- Responsible for submitting payroll for instructor/screener employees for multiple programs, maintaining personnel database and work agreements, and supporting human resources communications and procedures under the direction of the department manager.
- Oversees wide range of department billing and procurement procedures, such as submitting purchase orders, tracking receipt of materials and payments, issuing check requests, and maintaining department financial records using established procedures and network software.
- Responsible for ongoing coordination of health promotion activities as assigned which may require collaboration with other departments, greeting customers at community events, tracking program activity, making site arrangements, and ordering supplies, among other tasks.
- Oversees general office functions including referring callers, sorting mail, organizing supplies, coordinating volunteers.
- Develops and maintains a culture of service excellence with internal and external customers, physicians and volunteers in accordance with the Beaumont Health values of Compassion, Respect, Integrity, Teamwork and Excellence.
Qualifications
- Required High School Diploma or equivalent
- Preferred Associate's Degree
- 3 years of relevant experience 3 to 5 years secretarial or office administration experience with increasing responsibilities and with focus on project coordination. Required
