Summary:

The Executive Associate position provides administrative support to the Vice President and Sr. Directors leading the CV and Immunology Pricing Access Strategy Teams within the Global MAx organization. The Executive Associate will perform diverse administrative and project-focused duties.  Responsibilities will involve interactions with senior leadership and exposure to confidential material necessitating the use of tact, diplomacy, discretion, and judgment. The candidate must have proven skills in prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced working environment.

Responsibilities:

  • Support multiple individuals at the same time, manage priorities, and deliver with appropriate timeliness.

  • Demonstrate strong interpersonal skills and diplomacy in all levels of management. Work with minimal supervision, have strong initiative and follow-up and a focus on details.

  • Calendar management.  Timely scheduling  ensuring meetings are prioritized and occur with appropriate urgency.

  • Maintain and organize office operations and procedures such as filing system, expense reports, requisition of supplies, and other administration services.

  • Prioritizes activities and acts based on an understanding of departmental objectives and business needs.

  • Strong understanding of project support

  • Arrange travel while adhering to T&E policies.  Conduct monthly reconciliation of business expenses.

  • Ensure manager’s preparedness for meetings, including assembling meeting materials, assisting with PowerPoint presentations & pre-reads, and coordinating technical meeting support where required.

  • Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.

  • Support business needs across different time zones and during periods of heavy workload.

  • Maintain a positive attitude, a high level of productivity, and be adaptable to change.

  • Proactive management of high profile internal & external events and initiatives

Qualifications:

  • High School degree, some college or degree desirable.

  • 8 years administrative or comparable experience

  • Proficient with Microsoft Suite (e.g. Outlook, Word, Excel, PowerPoint); knowledge of BMS systems and processes a plus

  • Working knowledge of Concur Travel and T&E, Ariba/SAP, SharePoint, Workday, Room scheduler experience strongly desired with understanding of international travel guidelines.

  • Possess strong organizational skills, attention to detail, and follow through on commitments, while balancing priorities and resources

  • Demonstrated ability to work proactively and independently, as well as collaboratively with other internal and external partners, across organizational levels and functions. 

  • Proven track record of collaboration with other administrative assistants to ensure business needs/goals are met.

  • Demonstrated ability to multi-task and adapt quickly to competing priorities while remaining focused.

  • Proven ability to work effectively under pressure to meet deadlines.
