We're looking for a Commercial Operations Assistant to join our team in London as part of our Operation function.

Your Role: You will play a crucial role in delivering exceptional customer service by ensuring seamless and timely management of the global assist inboxes. This role will be a central point of contact for sponsors and exhibitors, focusing on managing digital platforms (app, website, sponsor portal), handling sponsor communications, maintaining master data, and addressing enquiries in a prompt and professional manner.

Key Responsibilities:

  • Email Enquiries & Issue Resolution: Respond to all sponsors and their appointed contractors queries within 48 hours, ensuring complaints are resolved efficiently and professionally, escalating as needed.
  • App & Software Management: Coordinate with internal teams to ensure the app meets deadlines, provides real-time updates, and displays accurate sponsor information. Troubleshoot app-related issues in collaboration with the Commercial Operations team.
  • Sponsor Portal Maintenance:  Updating and maintaining the sponsor portal, ensuring the timely upload of branding assets and stand details. Provide support to sponsors and EACs on portal usage and deadlines.
  • Website Collaboration & Updates: Work with internal teams to ensure accurate sponsor branding on the website and update sponsor profiles and related materials as necessary.
  • Onboarding & Communication: Collaborate with teams like Customer Experience and Marketing to send timely communications, including welcome packs, deadlines, and best practices in alignment with show cycles.
  • Data Management & Reporting: Maintain accurate sponsor data, regularly auditing for inconsistencies. Compile post-show reports on sponsor engagement, app usage, and website interaction, providing insights for internal debriefs.
  • Event Coordination & Onsite Support: Provide onsite event support (where required) to ensure smooth sponsor operations, addressing any issues and acting as a liaison between sponsors and internal teams

  • Basic knowledge of digital tools and platforms like sponsor portals, CRM systems, and event apps, is a plus, but not necessary.
  • Customer-centric mindset with a focus on delivering a seamless sponsor experience.
  • Adaptability to work in fast-paced environments, both pre-event and onsite.
  • Collaborative team player who can also work independently to achieve objectives.
