The Reservoir Center program is comprised of over 70 non-profit partners that believe collaboration is the key to making progress in the water sector. Xylem is the sole sponsor of the Reservoir Center and makes the facility available to Reservoir Center partners at no cost. The Reservoir Center is used as an event, work, and meeting space, and is designed to bring together thought leaders in a neutral space without barriers, host meaningful events, and positively impact local and global communities through education and community outreach. Xylem is Fortune 500 company committed to solve global water challenges, and its headquarters is co-located in the Reservoir Center. Xylem utilizes the Reservoir Center as overflow space to its headquarters, consistent with its status as a Reservoir Center partner. 

The Meeting and Event Coordinator represents the Reservoir Center by collaborating with partners to understand their space use needs, provide support for event planning, and assist with on-site troubleshooting. They are responsible to proactively ensure that all requirements for an event’s success are conveyed to the on-site support team prior to arrival.  The Meeting and Event Coordinator ensures partner satisfaction by delivering high-quality onsite support in coordination with the facilities and IT team. This position requires full-time, onsite support and must report to the physical location 5 days a week. Some evening work is required. General working hours are 8am to 5pm. The ideal candidate is a successful professional in the hospitality industry who has a strong focus on customer service and experience interacting with corporate executives, government officials, and board members.  

CORE RESPONSBILITIES:  

Receiving, inputting and tracking all requests for Reservoir Center space from both Xylem employees and Reservoir Center partners. Serving as key point of contact for all space use requests and logistics related to using the Reservoir Center. (40%) 

  • Manage execution of visitor management and reservation management software and discuss any challenges/needs with Program Manager.  
  • Serve as main point of contact for all building space use needs. Maintain and manage the building space use calendar.  
  • Maintain strong relations with Reservoir Center partners, Xylem employees and customers and visitors (hereinafter “stakeholders”) and ensure that event specifications are communicated and executed for a successful meeting experience for all visitors. 

Coordinating with stakeholders as well as onsite Facilities and IT team to ensure all needs are met for reservations. (20%) 

  • Organize and coordinate event logistics with on-site support team including hospitality, audio-visual and other event-related logistics as required. 
  • Create a positive work environment for team members’ success; provide clarity regarding priorities, and ensure compliance in all aspects of the event 
  • Assist with the planning, design and production of internal and external meetings 
  • Provide clear and accurate information about events to onsite team as well as stakeholders  

Communicating with meeting and event stakeholders (20%) 

  • Monitor and enforce event deadline dates and work with stakeholders to release spaces not needed to maximize usage 
  • Produce and distribute event agreements and banquet orders to stakeholders and communicate any changes and updated information to on-site support team.  
  • Ensure collection of waivers, insurance certificates, and other required paperwork prior to start of event.  
  • Cultivate and maintain partnerships with local hotels and restaurants  
  • Collaborate with team to resolve facility issues impacting clients.  
  • Serve as key ambassador for the space and assist in building the Reservoir Center brand 

Analyzing feedback from stakeholders to improve processes (10%) 

  • Manage processes for the analysis of event data, post-event briefings and opportunities  
  • Proactively identify performance trends to modify or improve services and processes; provide reporting and metrics as required. 

EDUCATION AND EXPERIENCE:  

  • Bachelor’s Degree in Business or related Hospitality disciplines. 
  • Minimum of 5 years of corporate experience coordinating meetings and events 
  • Experience utilizing meeting and event software for managing reservations, logistics and metrics 
  • Ability to collaborate with colleagues across multiple disciplines to ensure successful events.  
  • Demonstrated effective relationship-building with stakeholders.  
  • Excellent verbal communication skills, including the ability to interact with elected officials, dignitaries and senior corporate management 
  • Proven ability to work in a fast-paced, evolving environment, both independently and as part of a team.

DAY IN THE LIFE: 

  • Based in Washington DC 
  • Required to report to location 5 days a week 
  • Work hours between 8am to 5pm, with occasional evening hours.
