Job Description

The Program Coordinator will work closely with the Assistant Director to Student Connections to implement student organization training, compliance, and events. The position will assist with the promotion of the Texan Trail Transcript, Co-Curricular Record noted in the Tarleton Forward, 2030 Strategic Plan and campus events. The position will serve in the Division of Student Engagement & Success within the Lance Zimmerman Department of Campus Life & Family Engagement.

In consultation with the Assistant Director, the Coordinator oversees the development, implementation, and execution of student organizations and assists with the Texan Trail Transcript (TTT), the University’s official co-curricular transcript program. Leading and assisting with the Texan Sync Training, Registered Student Organizations (RSOs) trainings, and creations of collaboration activities within the Resident Programs. This includes management and maintenance of the Texan Sync system; ongoing training of new users campus partners, and content reviewers; identifying and certifying events/activities and help events that may meet TTT criteria; collaborating with campus departments to identify event/activities; developing marketing material and promoting campus community; Serves as a Campus Security Authority (CSA); Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate; some evening and weekend work will be required.

Responsibilities:

40% Operational

Overseeing, developing, implementing, and executing programs for registered student organizations; leading initiatives for student organization trainings and events aimed at fostering skill development; engaging students in extracurricular activities to cultivate marketable skills, leadership roles, volunteer opportunities, and community ties; collaborating with faculty, staff, campus partners, and the Stephenville community to expand opportunities for student skill development; assisting in the training of registered student organizations and facilitating collaborative activities across various programs led by our office.

30% Administrative

Responsible for planning, coordinating, and executing university policies, procedures, and practices related to the comprehensive scope of registered student organization; assist in the management and maintenance of the TTT portal within the TexanSync system; ongoing training of new users, campus partners, and content reviewers; identification and certification of events/activities in Texan Sync; collaborating with campus departments to identify event/activities to include in the TTT program; developing marketing material and promoting TTT to campus community; serving as campus liaison to software vendor, and conducting assessments, compiling data, and reporting findings. Assisting the Assistant Director with RSOs training, initiatives, and community service connections.

10% Supervision:

Responsible for the budget and supervision of student employees related to assigned responsibilities. Coordinates staff selection, training, and staff development.

10% Technology:

Maximizes the use of contracted software, Texan Sync, serve as campus expert on utilization for Student Organizations. Working all software that has anything to do with student organization, which is not limited to: Campus ESP, Salesforce, Excel, Smartsheet’s, and more. Serves as departmental liaison to software vendor ensuring maximization of software to meet the needs of the Texan Sync program and development of new processes for continual improvement of services.

5% Assessment and Evaluation:

Serve with other staff in devising, implementing, and evaluating departmental goals, policies, organization, and program; work closely with professional staff to help achieve departmental objectives relating to student leadership; responsible for RSOs assessments and assist with TTT activities for the department and for producing necessary annual reports.

5% Other:

Represents the Department of Campus Life & Family Engagement at university functions when appropriate; represents the Division of Student Engagement & Success and Tarleton State University when appropriate. Attends and participates in appropriate departmental and divisional staff meetings. Serves as a Campus Security Authority (CSA). Perform additional responsibilities as assigned.

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Three years of related experience in coordinating events.

Salary:

Commensurate with experience

The target base annual salary is $43,620 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
