What this job involves
The Assistant Facilities Manager oversees workplace operations and facilities management services, ensuring optimal functionality of the venue environment. This role coordinates facility services, manages workplace team performance, and serves as the primary liaison between the Contractor and the Workplace Team.

What your day-to-day will look like:
Team Leadership

  • Manage on-site workplace management staff

  • Serve as the point of contact between Contractor and Workplace Team

  • Monitor staffing, daily operations, and service standards of frontline staff and service providers

  • Oversee workplace team to ensure service compliance with SLAs, statutory requirements, and KPI targets


Operational Management

  • Manage and report performance of all workplace management services

  • Deliver effective communication through advice, reviews, meetings, and reports

  • Monitor and liaise with Relevant Authorities regarding service delivery and work progress

  • Ensure buildings, facilities, systems, and machinery maintain optimal performance

  • Deliver excellent on-site service to meet Authority expectations


Service Coordination

  • Review and monitor vendor and contractor performance

  • Assist in establishing mission statements, service targets, policies, and standard operating procedures

  • Support budget estimation and preparation of financial and management reports

  • Coordinate pre-handover inspections, documentation, and materials for new spaces


Event Support

  • Carry out operational duties related to events logistics, management, and operation

  • Provide facility support for various activities/events held within the Venue

  • Ensure smooth operational transitions during special events


Compliance and Quality Assurance

  • Conduct routine inspections and prepare detailed reports

  • Attend regular meetings with the Authority and stakeholders

  • Implement precautionary and recovery actions for typhoons and adverse weather

  • Ensure service delivery meets established quality standards


Emergency Response

  • Provide 24/7 emergency call support and on-site attendance when required

  • Manage facility-related emergencies and service disruptions

  • May work evenings and during public holidays/weekends based on operational needs


Additional Duties

  • Handle other ad-hoc duties as assigned by the Authority

  • Support special projects or workplace initiatives as needed


Working Conditions

  • Primarily on-site at the venue with regular facility inspections

  • May require flexible working hours including evenings and weekends

  • Must be available for emergency response situations

Desired or preferred experience and technical skills:

  • Degree/Higher Diploma in Facilities Management (FM)/Property Management (PM) or equivalent

  • Minimum 5 years of FM/PM experience

  • At least 2 years in supervisor grade of FM/PM operations in venues of a scale equivalent to the Venue

  • Experience in workplace management, event operations, and property handovers is advantageous

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint)

  • Strong communication and interpersonal skills

  • Fluent in spoken and written English and Chinese, especially in report writing

  • Knowledge of Hong Kong Building/Properties Management regulations and Ordinances

  • Ability to work independently under pressure with minimal supervision
