Your role

The Advisor, Course and Program Administration (CPA) plays a crucial role in enhancing the staff experience at RMIT Vietnam by expertly managing and developing processes and systems related to course and program administration, ensuring that all administrative aspects of student programs are handled with the highest level of service and expertise.
Key responsibilities include collaborating closely with staff in the Registrar’s Group, Academic Schools, and other stakeholders at RMIT Vietnam, ensuring compliance with relevant policies and frameworks.

Report to: Manager, Academic Governance & Systems

Key Accountabilities

  • Support the approval process for new courses and programs, ensuring a smooth and efficient journey from proposal to implementation.

  • Maintain high academic standards and ensure all courses and programs comply with institutional policies.

  • Collaborate with schools, department heads, and other stakeholders to secure necessary approvals.

  • Manage course and program details within our academic systems, ensuring data accuracy and accessibility for everyone.

  • Coordinate class scheduling and configuration to optimise resource utilisation and meet the needs of students and schools.

  • Act as a liaison with schools and departments to address and fulfill scheduling requirements, fostering a collaborative environment.

  • Create detailed and user-friendly guides to support course and program administration, making processes easier for everyone.

  • Develop and update training materials to ensure they are current and relevant, helping stakeholders stay informed and effective.

  • Undertake any other duties that may be required to support the team.

Key Selection Criteria

  • A bachelor's degree in education, administration, or a related field.

  • Previous experience (1-2 years) in managing academic administration and improving administrative processes.

  • Familiarity with academic standards, institutional policies, and compliance requirements.

  • Proficiency in using academic systems and databases, as well as standard office software (e.g., Microsoft Office Suite).

  • Commitment to maintaining high levels of customer service and customer satisfaction.

  • Strong organisational and time-management skills to handle multiple tasks and deadlines efficiently.

  • High level of accuracy and attention to detail in managing course and program information.

  • Excellent communication and interpersonal skills, with proven client liaison experience.

  • Ability to work collaboratively with a diverse range of stakeholders.

  • Flexibility to take on additional responsibilities and adapt to changing needs within the academic environment.

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill 160).
