Mechanics Bank is currently searching for a Wealth Management Associate to join our team. Here at Mechanics Bank, we value connection, partnership, long term relationships and working together in person. This role will be working on-site at our Walnut Creek office.

The Wealth Management Associate will provide high-level administrative and project support to the Director of Wealth Management and senior team leaders within the department. Main responsibilities include setting up and taking minutes for all monthly, quarterly, and annual committee meetings; ensuring all details of the meeting are recorded accurately and subsequently distributed to relevant stakeholders in a timely manner. Prepares meeting packets and planning materials as needed, providing support for coordinating meeting events and scheduling, Consistently demonstrates a high level of independence and accountability. Updates and maintains policies based on committee approval and maintains committee and working group spreadsheets. Serves as a key point of contact for internal employees and external business partners. Supports marketing / client activities. Provides administrative support as needed to senior team leaders include preparing reports and spreadsheets, scanning documents and general project and office support for the department.

What you will be doing:

  • Provides administrative support for all monthly, quarterly, and annual committee meetings. Responsible for taking accurate and thorough minutes, Prepares meeting documents/packets and distributes as required. Assists in meeting coordination, planning and communication. Distributes meeting minutes to committee members in a timely manner. Updates PolicyTech based on committee approval of policies, procedures and charters. Maintains and updates spreadsheets as needed.

  • Coordinates client support activities and client marketing activities; including client appreciation and event organization (ex. holiday cards/wreaths/client gifts). Coordinates internal Town Hall meetings, assist with recognition activities for colleagues in wealth management.

  • Provides support and administrative coverage to senior team leaders as required. Including but not limited to:

  • Coordinate with external departments on behalf of Wealth Management (for example: working with IT for new hires, access management teams for our platforms/software to ensure who should have access).

  • Projects to support the department.

  • Expenses for senior team leaders, as needed.

Who you are:

  • 2 year Associate's Degree is highly preferred. Additional experience will be considered in lieu of education.

  • 3 years of administrative and/or executive administration experience is required.

  • Performs administrative duties supporting wealth management committee meetings, initiatives and special projects.

  • Minimum typing speed of 60 wpm with accuracy.

  • Strong MS Office skills (Outlook, Word, Excel, PowerPoint, and SharePoint).

  • Must possess excellent human relations, communication and business writing skills, and exercise good judgment.

  • Possess effective time management skills. Must be able to work well under time constraints and manage conflicting priorities.

  • Must have strong organizational skills, accuracy and attention to detail.

  • Demonstrate teamwork in facilitating workflow. High level of cooperation with others and responsive to the Bank's needs.

  • Exhibit high degree of professionalism and confidentiality in handling and having access to sensitive information.

  • Demonstrate excellent customer service skills.

Pay Range: $31.00-44.00 hourly

Final compensation package will be determined by the work experience, education, and/or skill level of the applicant along with internal equity and alignment with geographic market data.
