Job Description:

POSITION SUMMARY:

The Campus Ambassador is crucial to the smooth operations of the College Pasadena Campus.  This position will perform a variety of general administrative duties including, but not limited to, answering and directing phone inquiries, greeting students and community members, entering invoices, supporting campus conference services by reserving rooms, ordering recurring and special purchases, as well as monitor the lobby area and greet incoming visitors.  

The ideal candidate will possess a positive, helpful, and courteous disposition towards all internal and external customers and be able to maintain effective working relationships with employees at all levels of the organization.

This position is located in Pasadena, works a full-time schedule of 40 hours per week, and reports directly to the Chief of Staff.

ESSENTIAL FUNCTIONS:

  • Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure.
  • Assists campus use reservations and other logistical arrangements.
  • Sort and distribute all incoming mail into appropriate mailboxes.
  • Accept deliveries and incoming mail. 
  • Responsible for making recurring supply purchases and processing invoices. Perform other duties as assigned.

ESSENTIAL KNOWLEDGE, SKILLS and ABILITIES:

  • Proficiency with Microsoft suite (Word, Excel, and PowerPoint) and ability to learn software, as needed.
  • Experience using Concur preferred.
  • Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness.
  • Demonstrates good judgment in making decisions and attention to details.
  • Excellent organizational and time management skills.
  • Working knowledge of Workday is preferred
  • Ability to work with a high level of confidentiality, ethics and discretion.
  • Ability to interact and effectively work with invited guests, faculty, and staff members at all levels of Pacific Oaks in a culturally diverse environment.
  • Ability to work onsite and outside of regular business hours including some night & weekends. 
  • Ability to use general office equipment phones, copiers, faxes, scanners, etc.
  • Ability to quickly learn and use new systems or software.
  • Ability to identify pending tasks and prioritize work accordingly to meet deadlines.

Education:

  • Associate’s degree or equivalent in experience.

Experience:

  • Minimum of 2 years of related work experience in similar capacity Working in higher education or other educational endeavors is preferred
