The WorkPlace Senior Occupancy Manager reporting into Global Real Estate and Workplace Services (GREWS), will manage key occupancy strategy, logistics and planning activities with a focus on data management, analytics and reporting to support the implementation of the BMS Workplace Program advancing the Company’s strategic priorities.

As part of the WorkPlace Services team, responsibilities would include advocating for and monitoring occupancy standards, utilizing forecast data and analytics for workplace scenarios, optimizing the Company’s real-estate portfolio globally, collaborating with the Business Units to collocate teams to shape and energize a collaborative workplace to deliver products to patients faster.

This role reports directly to the Occupancy Strategy, Planning and Logistics Lead and will assist in the alignment of organizations regarding space. Internal personal skills and partnership with others are essential to the role since this individual will work closely with IT Support teams, space planning partners, WorkPlace Leads and business stakeholders to meet project deliverables and ensure data accuracy. Daily activities include monitoring occupancy data quality throughout company systems, providing comprehensive occupancy reports, leading the creation of data visualization presentations and dashboards to support strategy and operational deliverables.

Key Responsibilities:

Implement Guiding Principles and inspire a global strategic space planning vision for office workspace optimization  

  • Align with Leadership on co-location efforts of core business functions and business partners to increase social interaction and to increase sense of purpose and speed to market
  • Manage seating ratios with Space Planners based on business need while supporting flexible worker strategy to balance and optimize space utilization
  • Facilitate meetings with appropriate resources to monitor project related tasks for continued optimization of space and organizational colocations and alignments
  • Support BMS local site acquisitions and/or divestiture planning activities related to occupancy or site closures, coordinating relocation efforts, and prepare logistical plans as needed
  • Lead and inform teams on logistical plans on the Office Supply Management Program and provide on-going coaching to coordinators

Collaborate with Finance and Business Unit Leads to provide data such as forecasting, utilization, seating ratios which would lead to future project planning and decision-making

  • Support Occupancy Lead in annual business unit forecasting for seating requirements of onsite workers
  • Contribute to the management of the designated Occupancy Strategy Portfolio
  • Provide guidance of occupancy choices to address capacity concerns; utilize architectural test-fit strategies and parking data in planning efforts
  • Recommend solutions that incorporate the greatest value to the business, and efficient stewardship of financial assets to the business, leadership, and partner Occupancy Planners to address future growth and/or daily operational concerns
  • Responsible for the recording and reporting of head count information, and leverage data for project planning in company data systems
  • Provide strategic and tactical decision-making recommendations by leveraging badge utilization data to appropriate seating ratios for Flexible Neighborhood implementations

Facilitate and manage standardization of space and people attributes for use in quantitative and qualitative analysis to assist in quicker decision making

  • Lead the design, development and execution of the Workplace Occupancy Planning tools leveraging integrations with authoritative sources; collaborate on future design, transition, and maintenance of any IWMS tools
  • Monitor designated site(s) to ensure accuracy of Occupancy Types for Enterprise reporting Provide reporting for various site, people, office type, email addresses, etc. for communication, analysis, and decision making
  • Partner with Occupancy and Logistics Lead to create an improved co-location environment driving enhanced collaboration between organizations and improve productivity
  • Monitor and document Logistics Ambassador activities for BMS Workplace and Flexible Neighborhood projects
  • Collaborate with Change/Culture Lead on display and/or distribution of Communications
  • Coordinate with Facilities Operational Planning to ensure loading of floor plans and seating consistently across sites
  • Support project implementation to ensure alignment with the WorkPlace Program cross-functional teams
  • Coordinate with local site facilities services on mail delivery program related to occupancy implementations
  • Identifies and escalates any unresolved occupancy related issues to lead for decision making

Qualifications & Experience

  • BS or BA or equivalent experience
  • 5+ years equivalent experience in occupancy and space planning, interior corporate office design, project management or related real estate or facilities settings
  • Experience with IWMS systems or similar preferred
  • PowerApps, data automation tools and SharePoint experience preferred
  • Exceptional data visualization and presentation skills
  • Demonstrates initiative, self-motivation and superior organizational / time management skills
  • Effective communication, presentation, and people skills
  • Keen attention to detail for managing data and related documents
  • Coordination of project timelines and data analysis
  • Demonstrated ability to complete multiple, simultaneous tasks with minimal supervision and prioritize incoming work appropriately
  • Demonstrated ability to establish strong working relationships with team members
  • Proficient with Microsoft Suite especially Excel and PowerPoint
