Responsibilities

As Data Specialist you will play a critical role in driving the organization's business development initiatives by ensuring accurate and up-to-date contact information for potential prospects. This position is essential for maintaining the integrity and effectiveness of our enterprise CRM system, supporting strategic outreach efforts, and enabling the organization to efficiently connect with key stakeholders.

 

Prospect Identification and Research:

  • Conduct comprehensive research using various public information sources to identify and verify contact information for potential business prospects.
  • Utilize search engines, databases, social media platforms, and other online tools to gather relevant data.

FOIA Requests:

  • Prepare and submit Freedom of Information Act (FOIA) requests to obtain specific contact information and other relevant data from government agencies and public institutions.
  • Track and follow up on FOIA requests to ensure timely and accurate responses.

Data Compilation and Management:

  • Accurately compile, organize, and maintain prospect data in a structured format, ensuring all information is up-to-date and accessible to the business development team.
  • Ensure data integrity by regularly reviewing and updating information as needed.

CRM Support and Maintenance:

  • Support the maintenance and management of the enterprise CRM system (Salesforce) by regularly auditing, updating, and enriching data.
  • Identify and correct inaccurate or outdated data entries to ensure the CRM database remains reliable and effective for business development activities.
  • Conduct regular data audits and maintenance to improve the quality and completeness of the CRM data.

Collaboration with Business Development Team:

  • Work closely with the business development team to understand their data needs and priorities.
  • Provide timely and accurate reports on sourced contact information to support outreach and engagement strategies.

Compliance and Ethical Standards:

  • Adhere to all legal, ethical, and organizational guidelines when sourcing and handling contact information.
  • Stay informed about data privacy laws and regulations, ensuring compliance in all research and data-gathering activities.

Tools and Technologies:

  • Utilize a range of data collection tools and software to optimize the research process.
  • Stay updated on new tools and techniques that could enhance the efficiency and accuracy of data gathering.

Reporting and Documentation:

  • Document all research methods and sources used in the data collection process.
  • Generate detailed reports to summarize findings and support business development efforts.

 

Required Qualifications:

  • Associates degree or 2-plus years of experience in data management, marketing, business development, or related roles.
  • Prior experience with Customer Relationship Management (CRM) system, Management (CRM) system, Association Relationship Management (ASM), or database management system. (Salesforce preferred)
  • Strong organizational, multitasking, and time management abilities.
  • Track record of ability to work independently and within a remote or hybrid working environment.
  • Proficiency in Microsoft Excel.
  • Strong verbal and written communication skills.
