Job Summary

The Process Communications Analyst is responsible for the support, development and ongoing maintenance of communications platforms, methods, and strategies related to compliance and quality management systems. The Analyst provides support to colleagues within Technology Quality with respect to the communication ecosystem for compliance and quality management systems. The Analyst improves the distribution, usability, and knowledge of the compliance and quality management systems within Technology.

Key Accountabilities:

  • Develop and implement communications strategies that align with the organization's quality objectives and support its overall mission.

  • Establish tools, protocols, and guidelines to ensure consistent, transparent, and effective communication across teams and departments, fostering a culture of quality and compliance.

  • Maintain and continuously improve existing quality system platforms incorporating feedback from users and staying ahead of emerging industry trends to enhance functionality and user experience.

  • Design and implement business process automations to streamline quality system communications and support operational efficiency.

  • Conduct training sessions and workshops to educate teams on quality management systems and the use of technology tools, ensuring procedures are understood and adopted.

  • Utilize data analysis and metrics to provide insights into trends, patterns, areas for improvement, and for use in informed decision making.

  • Work closely with cross-functional teams, including ATM Solutions, CNS Systems, Technical Services, Technical Service Training, Safety and Quality, and Internal Controls to integrate communications and usability improvements into overall compliance and quality initiatives.

  • Research, recommend and implement tools and technologies that facilitate better communication and collaboration within the organization.

Job Requirements

Education:

  • Degree from a recognized university or college in Communications or a related field, or an acceptable combination of other relevant education, experience, and training.

Experience:

  • Minimum of 3+ years of communications experience.

  • Significant experience in change management practices.

  • Significant experience working in or closely with business and/or operational functions.

  • Experience working with Teams, SharePoint Online, Power Platform (PowerBI, Power Automate, Power Apps), and other business tools.

  • Experience working with content management systems is an asset.

  • Experience working with policies, standards, governance, and procedures documentation is an asset.

  • Experience in project management.

Knowledge:

  • Knowledge of communications processes and tools.

  • Knowledge of Teams, SharePoint Online, Power Platform (PowerBI, Power Automate, Power Apps), and other business tools.

  • Knowledge of change management, strategic planning, project management, and compliance management principles and practices.

  • Knowledge of documentation and content management principles and systems.

  • Knowledge of technology processes, policies, and procedures.

Abilities:

  • Ability to analyze processes to evaluate their complexity and associated communications requirements.

  • Ability to contribute to and align with the vision and strategy for Technology Quality group.

  • Ability to collaborate with a varied team of represented and management employees across various business functions.

  • Ability to negotiate guidelines, policies, and communications process and get consensus at all levels.

  • Facilitation skills with the ability to interface with key stakeholders and senior management and build sustainable relationships.

  • Ability to think strategically and influence change initiatives as well as innovation.

Working Conditions:

  • Hybrid: This position is based at the Ottawa TSC and is eligible for a flexible work arrangement with 1 day/week in office.
