The Office Manager serves as a gatekeeper for employees, customers and other guests, with duties that range from answering phones to coordinating on-site customer visits, training and trade shows. This role is very independent and requires a great deal of self motivation and discipline.
Responsibilities:
Customer Service
Answer phones
Coordinate customer & vendor visits
Schedule conference rooms
Sales & Marketing Support
Reserve conference rooms for Sales Meetings
Organize lunches/dinners for sales meetings
Support Regional Sales Managers with data entry in CRM and ERP systems
Work with Marketing to organize travel and dinner reservations for trade shows (Promat, Modex)
Maintain inventory of company branded merchandise
Organize customer training (TCI) events – conference room, lunches, dinners, certificates and printed/electronic presentation materials
General Administrative duties
Expense reports and other administrative duties for executives
Organize lunches and dinners for customer visits and company events
Manage inventory of office supplies and snacks
Organize equipment and rooms for Town Hall meetings
Serve as the “Go-To” person for questions – Who’s Who, Org Chart updates, direct traffic
Work with building owner to stock breakroom
Support HR with new-hire on-boarding and orientation, including maintaining org chart
Develop and maintain office calendar for key events
Develop and maintain tracking method for employees in office, traveling, on PTO
Required Knowledge, Skills, Abilities:
Strong interpersonal skills
Make a good first impression, both in person and over the phone
Work well with the entire staff
Be flexible and adapt to changing requirements
Detail oriented and well organized
Able to multi-task and tolerate multiple interruptions
Fill gaps in communication to employees as needed. Requires extensive knowledge of MS Office suite
Microsoft Teams
Microsoft Outlook, Word, Powerpoint, Excel. Will also require data entry into ERP system and CRM system (training will be provided)
Education and Experience:
High school diploma or GED required.
Associates degree (minimum) in business administration preferred.
3-5 years experience as receptionist, executive assistant or office manager preferred.
The base salary range for this role is $55,000 to $70,000. This base salary range represents the low and high end of the base salary range for this position. Actual base salary offered will vary based on various factors including but not limited to location, level, job-related knowledge, skills, experience, and performance.
Travel Requirements:
May be asked to attend trade shows to support customer events.
