What will you be Doing:

The Manager of Government Affairs Operations provides operational, project-based and process-driven support to the Senior Vice President of Government Affairs. This role requires meticulous project management, an ability to function independently with little supervision, an ability to proactively anticipate needs, and an appetite for execution to ensure projects are accomplished in a timely and professional manner.

The Manager of Government Affairs Operations will have proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail.  Have superb communication skills and produce well thought‐out, professional correspondence free of grammatical and spelling errors. Be an excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.

The Manager of Government Affairs Operations will:

  • Manage the day‐to‐day workflow for the SVP which includes scheduling, travel management, contact management, and preparing materials for meetings;

  • Manage operations for the Washington DC office which includes site management, office operations, asset management, safety programs, ordering of office supplies, note taking, invoicing, budgeting, reception, and guest hoteling;

  • Plan and execute several large-scale meetings throughout the course of the year that may include securing conference space, catering, entertainment, managing registration information, agenda development, collation of meeting materials, and other meeting planning activities;

  • Support the team in developing and sending communications, maintaining member communication database, hosting webinars, and other support for communication vehicles;

  • Contribute to the SVP’s ability to meet executive team and board expectations on deliverables;

  • Help operationally guide the team on best practices, documented processes, and quarterly deliverables; and

  • Assist with special projects which may include executive team deliverables, highly confidential board and stakeholder deliverables, and management of process and timeline related to helping the SVP hold team members accountable to goals.

Key Responsibilities

  • Maintain the Executive’s schedule, including day-to-day and long-term management of meetings, projects, and priorities

  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants

  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines

  • Ensure Executive is prepared for upcoming appointments by gathering materials necessary for each meeting

  • Collect and assemble information for presentations, projects and strategic planning

  • Serve as the first point of contact for a wide variety of high-level relationships between Executive and both internal and external contacts

  • Facilitate, build and monitor relationships including tracking contacts in database and managing follow-up

  • Handle phone, email and postal mail inquiries and respond appropriately

  • Draft and edit correspondence, articles, reports and presentations

  • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines

  • Take on tasks to support the work of Premier’s programs, operations and overall mission

  • Work as a member of the team, willingly providing back‐up support for co‐workers when appropriate and actively supporting group goals

  • Facilities Operations

  • Collaborate and assist the corporate Workplace Resources Team with negotiation of contracts for the purchase of facility supplies, equipment, and furniture.

  • Resolve and respond to issues escalated by staff or Premier employees in relation to reception desk, off site file storage programs, space management requests, reconfigurations, workstation tools or modifications.

  • Prepare monthly metrics and run reports for Executive review.

  • Oversee the allocation of all conference rooms, Outlook on-line conference room reservation system, and A/V equipment

Education:

High School Diploma or GED (Required)

Physical Demands: Sedentary: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Premier’s compensation philosophy is to ensure that compensation is reasonable, equitable, and competitive in order to attract and retain talented and highly skilled employees. Premier’s internal salary range for this role is $64,000 - $118,000. Final salary is dependent upon several market factors including, but not limited to, departmental budgets, internal equity, education, unique skills/experience, and geographic location. Premier utilizes a wide-range salary structure to allow base salary flexibility within our ranges.
