About the Role

• To ensure payroll processes are driven accurately, efficiently and in a timely manner and payroll reports and records are reconciled properly and timely
• Help oversee the performance of payroll vendor and keep all agreements current
• Ensure strict adherence to AIA policies, procedures and guidelines and comply with all regulatory requirements

Roles & Responsibilities:

Payroll:

  • Work closely with Payroll Vendor on the monthly and weekly payroll runs.  Ensure the interface collects all necessary data and correctly send to Payroll Vendor
  • Data maintenance in Payroll Vendor payroll system
  • Coordinate monthly schedule on cut-off dates with various functions across HR and ensure data input, reconciliation is completed before each payroll run and reflected accurately in payroll records.  Ensure all payroll reports are signed and aligned with the accounting policy
  • Liaise with Treasury Department for funding arrangement, be the payroll checker for the payroll runs
  • Handle bank autopay and Telegraph Transfer (TT) transactions.  Review payment transaction report and handle any rejection from bank.  Ensure direct debit instructions given to bank timely for Employee Stock Purchase Program
  • Take lead and work closely with Payroll Vendor on Annual Tax Filing as well as departure tax returns
  • Collate information and respond to tax enquiries from Inland Revenue Department (IRD) and ensure tax payments are paid to IRD in timely manner
  • Take lead and look after Bermuda payroll. Work closely with Payroll Vendor and all payroll and taxation related matters.
  • Checking of Corporate Dining casual employees’ payroll and MPF

HR Governance:

  • Develop, implement and review HR templates, policies and procedures to ensure all HR operations processes are compliance with all regulatory requirements and Company’s policies and practices
  • Review and update the internal control policy and procedures regularly to ensure payroll control risk in low level
  • Participate in annual business continuity drill.  Review and update the business continuity plan to ensure our critical functions can be continued in the event of disruption
  • Take lead on regular employee sanctions screening

Minimum Job Requirements:

  • University graduate with major in Business, Accounting, Human Resources Management or related discipline preferable
  • At least 7 years relevant experience in handling payroll, with experience in leading outsourced payroll, SAP and Workday preferable
  • Good communication, interpersonal, analytical, problem-solving and time management skills
  • Meticulous and must be able to work under tight deadlines, deal with difficult, sensitive and confidential issue
  • Excellent skill in computer applications such as MS Office, automated payroll systems and accounting systems
  • Familiar with Hong Kong Employment Law and Tax Law
