Responsible for delivering comprehensive HR services across the assigned region. Supports HR processes such as onboarding and offboarding, payroll preparation, benefits administration, employee inquiries, and position management. Ensures HR transactions are processed efficiently and accurately, using company tools (e.g. Workday).

This role is part of our HR Operations team at Clario and is responsible for delivering comprehensive HR services across the region. As an HR Operations Specialist, you’ll manage key processes like onboarding, payroll preparation, benefits administration, and employee inquiries, ensuring accuracy and compliance. What you'll be doing: 

Employee Inquiries: Respond promptly and professionally to employee inquiries related to HR policies, benefits, payroll, and other HR matters. HR Transactions in HRIS: Perform HR transactions in the HRIS, ensuring accurate and timely updates for employee records, position management, and other HR processes. Escalation Management: Identify and escalate unresolved matters to the appropriate teams or HR specialists to ensure swift resolution. Pre-Payroll Preparation: Collect and prepare pre-payroll information, working closely with HR and finance teams to ensure accurate payroll processing. Repeatable Processes Execution: Execute standard, repeatable HR processes and activities consistently and efficiently, ensuring compliance with company policies. Onboarding and Offboarding: Oversee the onboarding and offboarding process for employees, ensuring a smooth and compliant transition in and out of the organization. Position Management: Administer and manage employee positions, ensuring correct data entry and alignment with business needs and organizational structure. Benefits Administration: Administer employee benefits programs in alignment with company policies and local regulations, ensuring proper enrolment and data accuracy. Reporting and Audit Assistance: Assist in generating HR reports and supporting audit activities, ensuring compliance and data accuracy. Employment Verification: Provide employment verification letters and related documents as needed. Language Support: Provide HR services in multiple languages to employees across the assigned region, managing a pooled model to support various countries.

OTHER DUTIES AND RESPONSIBILITIES:

Continuously improve HR processes and workflows to enhance efficiency and effectiveness. Support local HR teams and line managers in understanding and implementing HR processes. Assist with local labor law and works council-related issues, ensuring compliance with legal requirements. Participate in ad-hoc HR projects as required. Maintain a high level of confidentiality and handle sensitive employee information with discretion.

What we look for: 

  • Experience: 5-7 years of experience in general HR operations as part of a pooled model.
  • Language Skills: Fluent in English (written and spoken). Additional language proficiency (e.g., French, German, Spanish) is preferred and required to support various countries.
  • HRIS Knowledge: Familiarity with the Workday HRIS platform is strongly preferred.
  • MS Office Fluency: Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook), with the ability to use these tools for reporting and communication.
  • Contact Center Technology: Experience with contact center technologies, including tracking systems and HRIS, is a plus.
  • Technology Aptitude: Comfort with technology and ability to learn new tools and systems quickly.
  • Project Management: Basic project management skills and an interest in driving process improvements and supporting HR initiatives.
  • Labor Law Knowledge: Solid understanding of local labor laws and HR regulations, with experience working with works councils or trade unions in EMEA countries.
  • Communication Skills: Strong verbal and written communication skills, with the ability to manage, influence, and negotiate effectively with employees, HR colleagues, and other stakeholders.
  • Customer-Centric: Passionate about delivering an excellent employee experience and ensuring employee satisfaction throughout HR processes.
  • Adaptability: Ability to adapt to new ideas, challenges, and changes in a fast-paced environment.
  • Problem-Solving: Ability to manage sensitive and confidential issues effectively, including dealing with difficult or complex situations.
  • This role requires work within an office environment and remotely. Some international travel may be required for team meetings, training, or special HR projects.
