Job Summary
The Global Treasury Operations Analyst - Accounts Payable (AP) supports the accounts payable settlement process for Asia entities by performing invoice intake and validation, acting as a control and safeguard point between invoice initiators/requestors and payment approvers. The role reviews vendor invoices and supporting documents, validates key invoice and vendor data elements, and verifies payment details to determine whether submissions are in good order for approval, in line with internal policies, controls, and service level expectations (including cut-off considerations). The analyst maintains clear processing statuses and audit trail in the relevant systems, coordinates exception resolution with Business Units and other stakeholders, and routes validated invoices to the appropriate reviewer (e.g., DTO) or authorized approver. AP does not perform invoice approval, payment execution, or cash reconciliation; those activities are owned by designated counterparties.
Role and Responsibilities
The Global Treasury Operations Analyst - Accounts Payable (AP) supports daily AP operations by performing invoice intake and validation, acting as a control checkpoint prior to approval and settlement, managing exceptions, and coordinating with internal and external stakeholders to ensure timely, accurate, and compliant vendor payment processing. Key responsibilities include, but are not limited to, the following:
1) Invoice receipt, intake controls & validation
- Retrieve invoice submissions from approved channels and the ERP intake queue; perform initial completeness checks (required invoice image/supporting documents, coding and payment instructions) and assign items for processing based on entity and workload considerations.
- Perform detailed validation of invoice data elements against supporting documentation (e.g., invoice number/date, billed entity, description of goods/services, amount, currency, tax details where applicable, and payment terms), ensuring accuracy and completeness in line with entity-specific requirements.
- Validate vendor details (e.g., vendor name, company code where applicable) and verify payment instructions/beneficiary details are consistent, complete, and appropriately supported; flag anomalies, potential duplicates, or high-risk items for further review and escalation before routing.
2) Exception handling, issue resolution & stakeholder coordination
- Identify exceptions during intake/validation (e.g., incomplete documentation, inconsistent data, incorrect coding, suspected duplicates, or invalid payment details), document findings, and update processing status to create transparency and support audit requirements.
- Return submissions to Business Units with clear requests for clarification/correction where needed; coordinate with requestors, approvers, treasury counterparts, and vendors (where applicable) to obtain revised documents or instructions and drive timely resolution within cut-off and SLA constraints.
- Respond to stakeholder queries on invoice status and processing requirements with clear, timely updates; escalate aged, urgent, or high-risk items through agreed governance routines and escalation paths.
- Act as a control checkpoint between invoice initiation and approval by applying documented validation standards, supporting segregation of duties, and routing invoices that are in good order to the appropriate reviewer (e.g., DTO) or authorized approver; do not approve invoices or execute payments.
3) Compliance, controls, reporting & audit readiness
- Operate within the established AP governance and control framework, including adherence to role-based access/segregation of duties, internal policies, and documentation standards; flag and escalate potential control issues or non-compliance.
- Support operational reporting (e.g., invoice volumes, aging, exception trends, and SLA performance) and track issues/actions to closure with relevant stakeholders.
4) Continuous improvement, runbook ownership & change support
- Identify recurring exception drivers and control gaps; recommend and help implement process improvements to strengthen first-pass quality, reduce rework, and improve turnaround time.
- Support BAU change initiatives impacting AP processing (e.g., invoice submission channels, ERP workflow changes), including user acceptance testing support, defect triage, and post-implementation stabilization.
- Own and maintain AP BAU procedures (runbooks, checklists, templates) and ensure process documentation remains current as systems, controls, or entity requirements change; provide guidance to junior team members to support consistent execution and knowledge continuity.
Qualifications
Education
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related discipline.
Experience
- 5+ years of relevant experience in accounts payable operations, invoice processing, shared service center finance operations, or a related role (experience supporting multiple Asia entities is an advantage).
- Hands-on experience performing invoice validation, resolving exceptions, and coordinating with requestors/approvers and vendors to drive timely settlement while maintaining strong controls and audit trail.
Technical skills
- Proficiency with invoice submission/workflow tools and ERP invoice processing (e.g., intake queues, workflow routing, and invoice data entry/validation), and strong working knowledge of Microsoft Excel for tracking, reconciliations, and reporting.
- Solid understanding of invoice-to-pay processes, segregation of duties, and delegated approval authority concepts (and associated reference data/tools), with a strong control and audit mindset.
Communication & language
- Proficiency in English and Japanese (written and spoken) to communicate with regional stakeholders;
- Strong attention to detail and ownership mindset, with the ability to work under time pressure and manage competing priorities around cut-offs and service levels.
- Strong stakeholder management and customer service mindset, able to communicate exception root causes clearly and drive closure with requestors, approvers, treasury partners, and vendors.
