POSITION SUMMARY:

Reporting to the Placement and Testing Data Coordinator (Coordinator), the Placement and Testing Data Specialist will provide essential support to the Coordinator by assisting with various tasks related to placement and data collection and will play a crucial role in the College’s transition to Colleague SaaS. This position will support the placement office and all processes related to the repository of placement scores and measures. This position works collaboratively with students, staff, and faculty, as well as external stakeholders including, but not limited to, testing vendors, and high school partners.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES 

1. Collaborate with the Coordinator to ensure efficient operations of the placement office and support all placement and testing data reporting systems and processes.

2. Participate in data cleanup, documentation, and testing related to placement ensuring data accuracy, integrity, and consistency during the transition to Colleague SaaS. Serve on all Colleague SaaS committees and groups related to placement and testing data and report information back to Coordinator to support implementation decisions related to placement processes and procedures.

3. Attend to inquiries related to placement exams, course prerequisites, placement verification, and testing procedures. Service students, staff, faculty, and community members with all placement-related questions on campus and within a virtual setting. The placement office assists students with individualized placement support by triaging questions, interpreting test scores and multiple measures for course placement, providing placement resources, and supporting students through the onboarding process.

4. Assist with preparing, distributing, and tracking placement and testing data including, but not limited to, JJC placement tools, ACT, SAT, PSAT, high school GPA, and transcript evaluation indicators.

5. Assist with data entry of placement and other testing data into the Colleague SaaS and Workday platforms.

6. Produce consistent, meaningful, accurate, and timely reports to the Coordinator or other stakeholders on a scheduled basis. Such placement and testing data reports include, but are not limited to, District 525 high school data sharing agreement reports, student enrollment/ retention reports; course prerequisite reports, and other reports supporting placement testing initiatives.

7. Assist with creating documentation of new processes in Colleague SaaS that can be used in the training of current and future staff.

8. Work in collaboration with Coordinator to ensure placement information and training materials are accurate, current, and easily accessible by all relevant stakeholders; document and help maintain processes to update materials and communicate changes.

9. Consistently and efficiently execute score upload processes within various testing platforms, ensuring accuracy, adherence to established guidelines, and timely completion within the College’s Student Information System.

10. Adhere to the Family Educational Rights and Privacy Act (FERPA) guidelines for confidentiality of educational records, general data sharing and handling practices as outlined by the college’s technical security team, and Academic Intervention and Accommodation Services (AIAS) quality assurance expectations.

11. Assist Testing Services and Dual Credit Office with testing, data, and reporting needs. Such assistance may include but not limited to working with students and faculty during peak testing periods, organizing, and collecting testing rosters for Dual Credit testing, and supporting the placement and testing needs of Testing Services and the AIAS areas.

12. Participate in staff meetings, in-services, college events, and trainings as may be required.

13. Perform related duties as assigned. 

MINIMUM QUALIFICATIONS 

1. Associate’s degree.

2. Previous experience within higher education student services, placement, data reporting, assessment or institutional research.

3. Extensive knowledge of Microsoft Office suite, especially Excel, Word, and PowerPoint.

4. Demonstrated abilities including attention to detail, strong communication skills, excellent organizational skills, and working both independently and collaboratively with large groups.

5. Two (2) years of experience directly related to position responsibilities.

6. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS 

1. Previous experience with placement and testing data/ software; advising; information technology, and enrollment management.

2. Experience working with Colleague and Workday enterprise resource planning systems.

3. Strong experience sharing information and providing training for internal and external stakeholders.

4. Two (2) years of training experience.

5. English and Spanish verbal and written communication proficiency.

6. Demonstrated multicultural competence.

WORKING CONDITIONS 

Duties are performed indoors in the usual office and/or outdoor environment. The Placement Office hours are Monday – Thursday 8:00am – 6:30pm and Friday 8:00am – 4:30pm; may require weekend hours during peak registration times.
