The Client Experience Coordinator will provide administrative support for account management in partnership to reach objectives for retention, profitability and training

Essential Functions:

  • Prepare custom client presentations (Annual Program Reviews, CPI Program Guides, Claims Manuals, etc.) including data compilation, research and final production materials
  • Spearhead client event/site visit planning remotely through vendor research/interaction, client contact, meeting room setup and home office staff participation all within established budgets
  • Track expenditures for compliance with company travel expense policies/budget guidelines for expense reports, vendor payments, donations, etc. through expense report reconciliation and payment processing
  • Compile, prepare and distribute monthly/quarterly/ad hoc management reports to internal/external customers
  • Schedule, attend, take and distribute minutes for internal/external meetings
  • Provide coverage for the front desk by routing calls, greeting/announcing visitors in a professional manner
  • Distribute and prepare Client Services correspondence as needed
  • Place supply orders for the Client Services group and distribute
  • Maintain minimum standards for abandon rate, average seconds to answer calls and percentage of phone calls

Additional Responsibilities:

  • Coordinate, backup and cross train with other positions as needed
  • Complete and oversee special projects as assigned
  • Act as company liaison for internal and external customers in confidential manner

Knowledge/Skills/Abilities:

  • Typing of 40 WPM minimum without error
  • Ability to take direction, recognize and prioritize tasks with minimal supervision
  • Must be well organized with attention to detail
  • Possess strong organizational/time management skills
  • Possess strong written/oral communication skills
  • Possess strong customer service skills
  • Possess good mathematical and analytical skills
  • Advanced knowledge of Microsoft Office – Word, Excel, PowerPoint (2007 or later version preferred)
  • Intermediate knowledge of desktop publishing program(s) preferred (ex. Adobe InDesign)
  • Bilingual (Spanish) preferred but not required
  • Knowledge of multi-line phone system preferred but not required
  • Ability to maintain customer confidentiality, both internal and external

Education/Experience:

  • High School Diploma or equivalent required
  • 3 years of work related experience or college degree preferred
  • Must possess a valid Driver’s License with a good driving record
  • Minimum 6 months experience on high volume, multi-line phone system preferred
