OVERVIEW
We are looking for an experienced, professional Executive Assistant to join the office of the President of CAA Sports International. Reporting into the President’s Chief of Staff, this role requires an individual who is well organised with excellent attention to detail and has the ability to be one step ahead at all times.
This is a fantastic opportunity to be a part of a leading, fast paced, successful, international sports and entertainment agency. This role will work alongside an experienced group of sports professionals, agents and executives, learn how the commercial sports industry works and make a direct contribution to CAA as well as its core clients.
The ideal candidate will have an acute eye for detail and be professionally presented. They will possess excellent written and verbal communication skills, be unphased within the VIP, high profile environment and be able to operate discreetly and confidentially.
They will be proficient at diary management and be confident to own the President’s schedule. They will have the ability to set, manage and evolve the meeting cadence to optimise the President’s time.
They will be extremely responsive and communicative both internally and externally, understanding the importance of the ambassadorial role that they will play within the office of the President.
They will have experience of planning and facilitating premium events on both a small and large scale, with a keen eye for aesthetics.
The role is broad and varied and includes all the administrative support elements that you would expect and much more besides, no one day will be the same and the workload will be constant and varied.
ROLE ACCOUNTABILITIES
Complex diary management across multiple time zones
Proactive planning of an ever changing schedule which is subject to last minute changes on an ongoing basis
Meeting and conference call bookings, inclusive of relevant reminders and preparation
Preparation of clear and concise travel options
Arrangement of travel and all expenses for both the President and Chief of Staff
Support the Chief of Staff in all administrative tasks as directed
Assist the Chief of Staff in the arrangement of all internal and external events
Liaise with internal and external stakeholders, including CAA employees, business guests, clients and brand executives
Preparing presentations as directed
Take notes at meetings, preparing and distributing the minutes as needed
Any ad-hoc duties as requested by management
Responsible for covering work of the other EA in the Sports team during periods of absence
QUALIFICATIONS/REQUIREMENTS
Strong organisational and time management skills, with excellent attention to detail
Experience operating and supporting at C-Suite level
Professional manner with a positive, solutions orientated attitude
Ability to prioritise and multitask with a busy workload
Proficient in Microsoft Office, including Microsoft Word, PowerPoint and Excel
Ability to thrive in a fast paced environment
Ability to work autonomously and within a team
Excellent verbal and written communication skills
Strong confidential work ethic
Experienced and at ease in the VIP and high profile environment
