WREF is the global team that is responsible for the full lifecycle of planning, execution, and operations of GSK’s real estate portfolio. This includes defining the organisation’s real estate and workplace experience strategy across our network; as well as leveraging our network of vendor partners to ensure delivery facility management and capital project services to GSK’s global office portfolio.

Reporting to the America’s Director, Real Estate & Project Delivery, the Workplace Improvement Lead is responsible for the delivery of capital projects, and enhancing the user experience, productivity, efficiency, and satisfaction within the workplace. This role entails identifying areas for improvement, developing strategies, and implementing initiatives to create a conducive and thriving workplace experience.

In this role you will:

  • Produce project documentation to facilitate scope definition, budget and schedule management, execution planning, risk management, scope control, commissioning and start-up, operational handover. Apply the WREF Capital Project Process guideline and related tools and templates.
  • Prepare project cost and schedule estimates, leveraging estimating and scheduling benchmarks and SMEs as necessary.
  • Organize the project team and manage the delivery and performance of project team members in a matrix organization.
  • Facilitate approval of project scope, schedule, and funding authorization.
  • Organize and lead project planning, coordination and steering meetings with key stakeholders and project team members.
  • Provide regular status reporting to management and key stakeholders, including updating and maintaining project cost, schedule, and other information in a central project management application.
  • Apply change management framework and lead change management efforts related to workplace improvement initiatives.
  • Ensure necessary change management plans are in-place and executed to facilitate the move-in and usage of the finished project (e.g. workplace change).
  • Conduct assessments and analyse data related to current workplace design, occupancy and utilization practices, productivity, employee engagement, user experience and workplace culture to identify trends and areas of improvement.
  • Identify inefficiencies and bottlenecks in workflows that impact user experience and develop strategies to optimize processes.
  • Collaborate with the WREF CoE, APAC/EMEA peers and key cross functional stakeholders to share best practice and ensure alignment of improvement initiatives with organizational goals and objectives.
  • Work closely with relevant project and operations teams to deploy global standards at sites, taking into consideration local culture/needs.
  • Develop training programs to equip employees and managers with the necessary skills and knowledge to support workplace improvement initiatives, including various new workplace technology, design standards, office etiquette etc.

Qualifications & Skills:

We are looking for professionals with these required skills to achieve our goals:

  • Bachelor’s degree in Business, Real Estate, or Facilities related discipline.
  • 3+ years experience leading capital projects.
  • 3+ years experience in Real Estate and Facilities Management industries.
  • 3+ years workplace experience improvement, change management, or related roles.
  • Experience analyzing data and identifying trends.
  • Experience leading and managing complex project from inception to completion.

Preferred Qualifications & Skills:

If you have the following characteristics, it would be a plus:

  • Certification project management or change management (examples: PMP, Agile / Scrum Master, etc).
  • Experience with process improvement methodologies (examples: LEAN, Six Sigma, etc).
  • Strong problem-solving skills and a proactive approach to identifying and addressing challenges.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
