AdministrationJob Responsibilities
Oversee and coordinate daily operations of the CIRO team, including managing inboxes, ordering supplies, scheduling meetings, and arranging travel for team members, recruits, and guests.
Serve as the team expert on procurement processes, handling requisitions, travel reimbursements, funding compliance, and purchasing approvals in Workday.
Guide staff, faculty, and students in procurement and accounts payable processes.
Coordinate Accounts Payable and Accounts Receivable processes, ensuring timely and accurate transactions.
Act as the primary liaison with Facilities, IT, and Housekeeping to coordinate office setups, lab moves, and telecom/network installations for staff and new hires.
Manage research lab and office setups/phase-outs, coordinating with KUMC departments, external vendors and new faculty hires to ensure smooth operations and successful onboarding.
Place work orders for housekeeping, facility maintenance, and IT services while maintaining equipment and supply inventory.
Contribute to operational improvement initiatives and collaborate with the Office of the Chair on shared priorities.
Provide cross-coverage support alongside other coordinators.
Work with departments and vendors on space viewings, obtaining quotes, and overseeing equipment and furniture installations.
Deliver virtual training and create process documentation to support procurement and accounts payable compliance.
Run and create reports in Workday as directed, and use business technology (e.g., SharePoint, ServiceNow, Teams) to enhance process improvements and departmental operations.
Provide internal and external customer support across areas such as event planning, communications, finances, and general administrative tasks, ensuring excellent service.
Provide support for special event planning and coordination, contributing to departmental programs and initiatives.

Required Qualifications
Education:
Bachelor’s degree in relevant field or relevant experience can substitute for the degree on a year-to-year basis.
Work Experience:
Two (2) years of experience in administrative office.
Experience providing excellent customer service.

Master’s Degree
Work Experience:
Two (2) years of experience in higher education, supporting faculty and staff.
Proficiency with Workday
Proficiency with Microsoft Suite
Prior experience in a healthcare institution.
Skills:

Excellent oral and written communication skills.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
