The Team Lead Logistics Administration (f/m/x) leads the general coordination and administrative team within Logistics.
This role manages, supports and oversees the timely delivery of cost-saving and continuous improvement projects. The team lead works across the Logistics Team and cross functionally across multiple lines of business to drive the design and implementation of tactical and strategic initiatives across the front-end business operations including, but not limited to, administration and scheduling/planning functions. They are responsible for the preparation and declaration of established KPI’s in their area and continual operational improvements.

What you'll be doing:
Operations
Manage and support the delivery of key Logistics Continuous Improvement projects
Work with the business to ensure that necessary requirements are met and can be delivered into and alongside the existing operation
Put standard operating procedures and material-, product- and process flows into place
Handle escalations from customers both internal and external
Be the key point of contact for clients, Project Managers, Product management and Finance as needed
Independently execute quality events (Investigations, Corrective Actions)
Support and participate in internal and external audits
Create and update standard operating procedures and work instructions as required: Global Quality Policies and Regulations, Knowledge of quality procedures , Knowledge of internal and external material flow , Communication and reporting on material movement
Use of lean principles in the daily work
Work closely together with quality management and controlling to assure the logistical activities applies to the regulatory, global trade requirements and best practices
Develop and contribute to specific standard operating procedures
Run project initiation processes such as set up the initial project plan, consolidate team input to create master plan and schedule; initiate progress reporting processes etc.
Data Integrity and Analytics
Analyse logistical business processes and implement improvements with the responsible department leads of the interfacing departments
Secure approvals and feedback from Supervisors and Stakeholders as required
Track various metrics related to budget creation to support management reporting needs
Ensure all department-related documentation required is complete on time and accurate
Administer Master Data within the ERP Systems and ensure accuracy with the Technical Office Support Department
Communication
Participate in internal and external SCM Strategy meetings, and other departmental meetings, as needed.
Ability to professional handle requests in Ticket System
Leadership
Manage workflow for the team & prioritize in time tasks
Participate in recruitment within the department/team.
Act up and be backup for the Logistics Supervisor and or Manager
Mentor and develop team members and ensure they follow standard operating procedures
Review and provide guidance as required to team via regular team and individual meetings, responsible for team annual reviews and career development discussions
Coach, mentor and train staff as required
Inform project team members of their responsibilities for logistical working procedures and confirming their understanding at suitable intervals
Demonstrate your skills as an expert in these areas
Provide internal and external project reports including evaluation and monitoring of process-related data, create overall progress and risk reports
Manage & facilitate any planning, workshops and training as required by projects
Challenge current sub-optimal practices across business operations and lead process improvements within Logistics
Delivery and development of projects with distribution operations and wider operational network including those that are key strategically to the business and operation including Shipping, Production and fulfilment roll outs and process improvements
Train new team members when hired, assist with overall onboarding
Train logistics team on new products as they develop, in coordination with Product Management
Control activity, which is scheduled, resolve conflicts and maintain a scheduled, controllable workload
Assign workload and additional tasks to the team
Contribute and or host mid and year-end reviews and provide continuous support and feedback throughout the year
Join regular management level meetings, focus on engagement, and support in the hiring/interview process
What we look for:
Bachelor’s degree or a comparable education in business administration, engineering or related fields
Minimum of 5 to 7 years of experience in supply chain management, or industrial administrational environment experience
Fluent English and German language proficiency
Experience in a fast-paced environment; with an ability to work independently, and cross-functionally as needed
Must be dependable with strong follow through and minimal direction
Professional approach with high attention to details & deadlines
Advanced knowledge of Microsoft Office Suite
ERP experience highly preferred
Excellent organizational, administration and communication skills
Strong professional presence with the ability to lead a team and collaborate with senior leadership and clients
Good presentation skills and professional approach
Demonstrated experience with onboarding, training, mentoring colleagues
Basic experience in GMP documentation, especially in project initialization and engineering documentation
Knowledge of standard operating procedures and material, product and process flows
