Our Opportunity

We currently have a need for Payroll Project Lead on a 9 month Fixed Term Contract.  

As a Payroll Project Lead you will be the central figure in helping Hitachi Rail GTS UK migrate from one payroll provider to another, working closely with internal teams and external providers to ensure a seamless transition.

This is a hybrid role working a minimum of two days per week from any of our London sites (Waterloo, St Katherine’s Dock, Stratford).

Key Responsibilities:

Your responsibilities will include, but not be limited to:

  • Act as main point of contact to our internal corporate payroll team (CSS), ADP (the new payroll provider) and the Project team to plan, organise and direct the Payroll operations and project activities
  • Key liaison with current payroll provider and outsourced team delivering the existing service
  • Develop and administer the Plan Documents in accordance with HMRC regulations and guidance
  • Evaluate the adequacy of the payroll related systems and validate requirements for the payroll configuration and related processes
  • Design and manage the system set-up for payroll related modules with CSS, including any relevant taxes/NI deductions, retirement, assignment, statutory deductions, pensions, P60 production, employer benefits and creating and filing of compliance reports
  • Audit employee assignment changes and salary implications, payroll timesheets, employee deductions, and adjustments and make recommendations for improvements
  • Provide technical analysis and expertise to the Hitachi Rail GTS and CSS teams to provide accurate payroll information regarding payroll policies and related procedures, and applicable laws and code
  • Investigate and resolve sensitive, complex and detailed inputs needed for the project transition
  • Interpret and implement union (collective) pay agreements; ensuring that all relevant payroll set up is configured in the new application
  • Be the main point of contact for set up of UAT (User Acceptance Testing) scenarios and provide the relevant information to CSS team
  • Upskill current team in relation to processes and information needing to be sent to CSS on a monthly basis
  • Ensure all data feeds are mapped to the appropriate providers e.g. Pensions, Benefits providers
  • Implement process maps for payroll related activity for the HR team
  • Ensure potential risks are identified and managed appropriately, escalating as necessary to relevant HR Lead

Technical Skills and Experience

  • Strong understanding and interpretation of HMRC tax regulations/guidelines, laws, rules and reporting requirements
  • Strong payroll practitioner with previous experience in full employee lifecycle (e.g. new starters, leavers, retirees, DIS, overtime, shift/on-call pay, pensions, bonus payments, salary reviews, sickness/holiday calcs etc)
  • Proven experience of working with Flexible benefit plans systems and retirement process
  • Previous experience in managing a Payroll transition project
  • Expert knowledge in working with multiple Human Resources/payroll integrated systems (ideally Workday & ADP), practical working knowledge of Microsoft Office tools, with strong Excel skills
  • Awareness of GDPR and the importance of data accuracy/confidentiality/sensitivity and effective employee lifecycle management
  • Experience of working within an Engineering/Technology and/or global matrix operating environment
  • Experience of managing global mobility queries

What to expect

This role will close to applications on Friday 17th January. We then aim to complete a single-stage, virtual interview process in the week commencing 20th January 2025. The interview will consist of a brief presentation followed by a Q&A style interview focusing separately on technical and behavioural competencies.
