The Executive/ Senior Executive will support the daily HR operations of Colleges/ Schools/ Research Centers/ Departments and is responsible for areas related to contract management and termination processes within the stipulated Service Level Agreements (SLAs). The Executive / Senior Executive will also serve as a Data Steward to ensure regular review on accuracy of HR data.
Service Delivery
Coordinate and manage the employees’ contract renewal/ re-employment and other HR processes including but not limited to job changes, transfer, upgrade of appointment. This includes handling of the following tasks:
Coordinate and manage contract management across business units
Process contract renewal/re-employment and other HR processes, ensuring information are updated accurately in the HR Information System
Prepare the contract renewal/re-employment and other HR related letters, and ensure issuance and acceptance by employees on a timely manner
Ensure proper documentation are uploaded into the HR Information System
Facilitate and manage the exit management process, which includes the following tasks:
Process cessation letters and ensure information are updated accurately in the HR Information SystemEnsure issuance and acknowledgment of cessation letters are accepted by employees on a timely manner
Track the return of cessation forms and other assets before employees’ last day of service
Ensure proper documentation are uploaded into the HR Information system
Process One-Time Payment transactions in HR Information system
Notify Payroll to process the final payments
Maintain data accuracy and integrity across internal systems by identifying and correcting data discrepancies.
Update, validate, and cleanse datasets
Perform routine checks to ensure data consistency and completeness in accordance with established data quality standards
Collaborate with relevant stakeholders to verify and resolve data issues, ensuring timely updates
Escalate unresolved data anomalies to senior staff for further investigation and resolution
Service Excellence
Strive to meet Service Level Agreement (SLA) for HR services delivered by the HR Shared Services team, ensuring that customer needs and expectations are met
Work with HR team lead to contribute ideas and feedback in streamlining HR processes on areas of process improvements and standardizations.
Others
Undertake initiatives/projects across HR Shared Services team
Review SOP and improve the processes to improve efficiency and effectiveness
Requirements
Diploma in Business administration, Human Resources, Social Sciences, or a related discipline with 4 years of experience, OR
Degree in Business administration, Human Resources, Social Sciences, or a related discipline with 2 years of experience
Good understanding of common HR practices and Employment related legislation
Able to handle high volume of transactional works
Meticulous and resourceful fast learner
Ability to prioritize and work under pressure given tight timelines
Proficient in Microsoft Office applications (i.e. Word and Excel) and Proficient in WorkDay is an advantage
Excellent communication, planning, organisation, interpersonal skills and able to work independently
Positive attitude with a service-oriented mind-set
