Job Description:

The Supervisor, Front Desk at a doctor’s office oversees the daily operations of the front desk, ensuring efficient and smooth patient flow and administrative functions. This role involves managing front desk staff, handling patient inquiries, scheduling appointments, and maintaining patient records.

Key Responsibilities:

  • Patient Interaction: Greet patients and visitors, inquire about the purpose of their visit, and provide necessary information.

  • Appointment Scheduling: Coordinate and manage doctors’ schedules, book patient appointments, and handle cancellations or rescheduling.

  • Patient Records: Collect and verify patient information, including personal details and insurance information, and input data into the facility’s database.

  • Insurance and Billing: Verify insurance details, handle billing and coding tasks, process payments, and maintain financial records.

  • Staff Supervision: Oversee front desk staff, provide training, and ensure high standards of customer service.

  • Communication: Answer phone calls, provide information, and transfer calls to appropriate personnel.

  • Office Maintenance: Ensure the front desk area is clean and organized, manage office supplies, and maintain inventory.

  • Administrative Tasks: Handle light bookkeeping, prepare daily cash reports, and manage office correspondence.

  • Patient Support: Assist patients with filling out forms, schedule diagnostic tests, and provide information about medical procedures.

Qualifications:

  • Education: High school diploma or equivalent; additional certification in office management or related field is a plus.

  • Experience: Previous experience in a medical office setting, preferably in a supervisory role.

  • Skills: Excellent communication and interpersonal skills, proficiency in office software, strong organizational abilities, and knowledge of medical billing and coding.
