Position Overview

Reporting to the Executive Director of City Year Buffalo, the Senior Manager for People and Operations oversees the activities of the Executive Office, administrative operations of the site, and advances City Year Buffalo's agenda. The selected candidate will assist the Executive Director with strategic priorities, and prioritize and monitor tasks related to the execution and implementation of a broad agenda. S/he approaches the work with a cross-functional (department, organization, and community) mindset and will assume primary responsibility for select projects and initiatives as directed.

The Senior Manager for People and Operations is a member of the site’s leadership team and serves as a trusted advisor to the Executive Director. When directed, the Senior Manager for People and Operations will serve in the Executive Director’s place by representing them in high level meetings and discussions. S/he will provide oversight on time sensitive issues and initiatives that include cross-functional, organizational, and community dimensions. They are also responsible for building and sustaining an effective support structure for site staff and AmeriCorps members.

Job Description

Site Strategy and Special Initiatives

  • Monitor all of City Year Buffalo’s operating goals by working with department leadership to provide internal and external reporting. Ensure the Executive Director is aware of recommended actions and ensure response interventions are executed. 
  • Collaborate with Executive Director and site leadership to manage the implementation, review, and modification of City Year Buffalo’s strategic plans. Ensure departmental and site-wide progress is met and remains aligned with staff capacity, financial resources, and stakeholder support.
  • Work on the behalf of Executive Director for critical staff positions searches, hiring and onboarding
  • Partner with Executive Director to determine how the Senior Manager for People and Operations can support managing key strategic relationships with key stakeholders (e.g. public officials, Buffalo Public Schools, business leaders, etc.) and/or key initiatives (e.g. RJ, Mental health training/certs, etc.).

Advisory Board

  • With direction from the Executive Director, the Senior Manager for People and Operations will manage meetings and materials, retreats, and communications of the Advisory Board.
  • Assist committees with special projects by conducting research, collecting and analyzing data, drafting reports, and preparing presentations for internal and external stakeholders.
  • Serve as staff liaison to ACMs and IMs for board buddy activities 

Budget Development and Financial Monitoring

  • Monitor site’s financial progress and ensure all departments are forecasting below budget
  • Lead annual budget development process in consultation with Executive Director and site leadership.
  • Collaborate with Executive Director, Site Directors and HQ Finance to identify cost savings and revenue generation opportunities, prepare program budgets, and align operating budgets with strategy and donor intent.
  • Provide training and support to department finance leaders.
  • Complete all invoices & payments through Workday

Executive Office Management

  • Support the Community Partnership Manager and provide coaching and performance reviews that contribute to their development as skilled professionals in collaboration with the Executive Director.
  • With direction from the Executive Director, manage work flow of the Executive Office and Site Leadership Team.
  • Develop agenda for staff meetings and facilitate in collaboration with staff members
  • Interface with site counselor and other ACM/staff benefits partners
  • Ensure site space, administrative, and technology functions operate efficiently with high internal customer satisfaction.
  • Foster productive and collaborative relationships internally and externally on behalf of the Executive Director and site leadership as requested.
  • Establish and communicate site-wide policies and procedures on behalf of City Year Buffalo and in consultation with City Year Inc.

Basic Qualifications

  • College degree required
  • Minimum of 5 years of experience successfully leading cross-functional teams
  • Demonstrated ability to lead directors and managers in the creation and implementation of multi-faceted operating plans and budgets
  • Experience developing new programmatic and financial partnerships with community-based organizations, corporations, and civic leaders
  • Strong project management and organizational skills, and the ability to manage multiple priorities in a complex environment
  • Excellent analytical, verbal and written communication skills along with a high level of diplomacy, discretion and problem solving ability
  • Proven success in developing collaborative relationships, and a successful track record of providing successful advice and counsel to senior leaders
  • Experience conducting conflict resolution, coaching, and group facilitation exercises
  • Leadership, influencing and negotiation skills a must
  • Deep understanding of City Year’s mission and core values
