Overview: As a Veterinary Practice Manager, you will play a pivotal role in overseeing the day-to-day operations of Grass Lake Animal Hospital. You will be responsible for ensuring the smooth functioning of all administrative, financial, and operational aspects of the clinic. Your primary goal will be to maintain high standards of patient care while fostering a positive working environment for the staff. You will partner with your Operations Leader and Support Center teams routinely in effort to develop and grow the practice and serve the community.

Key Responsibilities:

Administrative Management:

  • Coordinate and oversee administrative tasks including scheduling, appointment bookings, and client communications.
  • Manage client records, ensuring accuracy and compliance with regulatory requirements.
  • Develop and implement efficient office procedures to optimize workflow.

Financial Management:

  • Handle billing, invoicing, and payment processing.
  • Monitor accounts receivable and manage collections.
  • Prepare financial reports and budgets in collaboration with the practice owner.

Human Resources Management:

  • Recruit, train, and supervise support staff including receptionists, veterinary technicians, and administrative personnel.
  • Conduct performance evaluations and provide ongoing feedback and coaching.
  • Develop and implement staff training programs to ensure adherence to protocols and standards.

Facility and Equipment Management:

  • Oversee maintenance of the facility, including cleanliness, safety, and compliance with regulations.
  • Coordinate equipment maintenance and repairs, ensuring all equipment is functioning properly.
  • Manage inventory of medical and office supplies, and place orders as needed.

Client Relations:

  • Address client inquiries, concerns, and complaints in a timely and professional manner.
  • Foster positive relationships with clients, promoting customer satisfaction and loyalty.
  • Implement strategies to attract new clients and retain existing ones.

Compliance and Regulatory Affairs:

  • Ensure compliance with local, state, and federal regulations governing veterinary practices.
  • Stay updated on changes in regulations and industry standards, and implement necessary adjustments to policies and procedures.

Qualifications:

  • Bachelor's degree in business administration, veterinary technology, or related field preferred.
  • CVPM highly desired
  • Proven experience in veterinary practice management or related administrative role.
  • Strong leadership and interpersonal skills, with the ability to motivate and inspire a diverse team.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Proficiency in veterinary practice management software and Microsoft Office suite.
  • Knowledge of veterinary medical terminology and procedures is a plus.
