The Senior Executive Assistant provides support to a group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.

Overall responsibility is to support the Fixed Income & Economics teams within the Citi Research. The role presents the opportunity to work within a major investment bank in a leading research house that is developing distinct and thematic research. The job is based at Citigroup Centre in Canary Wharf.

Responsibilities:

Administration

  • Organise and manage extensive and detailed travel arrangements (flights, hotels, visas, cars and trains). Prepares and distributes schedules/agenda for travel.
  • Timely processing of analysts’ expenses through Travel and Entertainment Expense system.
  • Assist with data maintenance using Excel and Word.
  • Ability to handle sensitive information.
  • Ensure public appearance requests, both media and non-media, are submitted and approved by internal compliance in a timely manner.
  • Any other tasks as requested.

Marketing

  • Assist with the maintenance of CRM client distribution lists and uploading client contact information.
  • Create marketing schedules in Citi Velocity (internal intranet).
  • Co-ordinate meetings, conference calls and liaising with clients and Citi colleagues across regions to organise meeting schedules and set up event invites.
  • Work with Corporate Access business partners on events and roadshows where required.

Research and Data Management

  • Prepare and maintain marketing presentations to a high standard, using PowerPoint. 
  • Assist with the creation of template reports using in-house adapted Word templates.
  • Assist with sourcing market and company information via the internet.
  • Create charts and graphics (e.g. with Excel ChartWizard, PowerPoint) for inclusion in reports and presentations.
  • Use DataCentral (in-house database) to extract data for inclusion in various research reports.
  • Manipulate data across various applications e.g. Excel, Word, PowerPoint and in-house databases.
  • Monitor reports through the Authoring process.
  • Ensure all meetings, calls, events are logged in CRM and manage client distribution lists. In addition, update and maintain internal databases (e.g. CRM) comprising company/client contact information.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications, Knowledge & Education

  • Ability to work to regular timetables under limited supervision.
  • Duties highly confidential in nature requiring a great use of discretion.
  • Excellent communication skills – must be a confident and effective communicator at all levels.
  • Strong teamwork ethic.
  • Possess a proactive attitude combined with an ability to take the initiative.
  • Ability to pick up new tasks quickly.
  • Accuracy and close attention to detail.
  • Ability to remain calm and efficient.
  • Ability to multi-task and re-prioritise tasks continually.
  • Methodical approach and strong organizational capabilities.
  • Candidates will ideally have 5 years’ administrative experience, preferably within the financial services industry.
  • Proficient in Word, PowerPoint, and Excel.
  • A strong command of the English language (oral and written) is essential.
