JOB SUMMARY:

Creates a positive business environment for the UMC Activities Center with all UMC Health System departments, as well as Lubbock's business community. A positive working relationship is essential between the program coordinator and the Seniors are Special membership. Teaches and leads several senior group exercise classes (45-60 minutes each) throughout the week. Provides outreach and promotions with the intent of developing new business relationships in the community and attracting new members to the UMC Activities Center. Responsible for positive daily contact with all members and guests during their visits. Knowledge of all phases of office procedures with the ability to follow the policies and procedures established for the UMC Activities Center. Ability to electronically report and transfer all monthly reports and instructor's timecards in a timely manner. With the support of the Program Manager, handles all aspects of the facility rentals. This includes but is not limited to obtaining contracts, collection of fees, paperwork, set up requirements, proper staffing and follow-up activities. Responsible for all phases of UMC Activities Center memberships registration and retention. This includes mailings, phone calls, writing letters as needed, renewal activities and general correspondence. Develops professional communications as needed with community doctors and their staff. Responsible for the collection and submission of new and renewed contract labor forms within two days of signing. Keeps up-to-date computer and written records of all transactions. Working weekends will occasionally be required.


REPORTS TO:


JOB SPECIFIC RESPONSIBILITIES:

• Responsible for outreach and new business development.
• Serves as a program and community liaison and resource person, performs public speaking and
education that support the mission, goals, and objectives of the outreach programs of UMC
while establishing and cultivating positive working relationships to maximize interactive
cooperative relationships.
• Promotes UMC Activities Center within the community to increase membership and rental
activities.
• Responsible for positive communications with UMC Activities Center members and guests
during their visit.
• Communicates with doctors and their staff to help UMCAC members.
• Handles all aspects of the building rentals, including coordinating with staff, writing contracts,
collection of rental fees, keeping all required and needed records.
• Responsible for forwarding vendor check requests for contract labor's payroll records to the
SAS office.
• Responsible for keeping computer and written records of all transactions, reports and office
procedures.
• Maintains excellent communications between the UMCAC and the manager and director.
• Operates all phases of office activities and assists the manager as requested.
• Performs other related duties and responsibilities as required.


EDUCATION AND EXPERIENCE:

• Bachelor’s degree or the equivalent in education and experience.
• Experience leading group exercise classes.
• Experience or interested in working with senior population.
• Experience using Microsoft software products and working with computers required.

SKILLS AND ABILITIES:

• Ability to learn the policies and procedures of UMC Health System with expertise in the policies
of UMC Activities Center.
• Knowledge of office coordination practices and the ability to keep accurate records of all
activities.
• Computer experience with the ability to maintain membership records that include dates,
activities and recreation levels.
• Ability to provide excellent customer service.
• Ability to communicate with doctors to obtain exercise permission forms for our members.
• Ability to effectively communicate with members and to provide good customer service.
• Ability to handle cash and credit card transactions as needed for memberships and building
rentals.
• Excellent telephone communication skills.
• Ability to type 40 words per minute.

Creates and promotes a positive business relationship with UMC departments, Lubbock's business community and the Seniors are Special (SAS) office.


PHYSICAL CAPABILITIES:

• Must be able to perform light to moderate physical exertion while teaching senior exercise
classes.
• Occasionally lifting up to 20 pounds
• Must have the ability to set up rooms for events and rentals.
• Sitting and working on a computer for extended periods of time is required.
• Short periods of standing and walking on a regular basis.
• Able to teach and assist with exercise classes.


ENVIRONMENTAL/WORKING CONDITIONS:

This position is subject to inside environmental conditions and some outside activities. Working weekends will occasionally be required.
