The Executive Assistant II in the Office of the Vice President for University Strategy and Chief of Staff will provide comprehensive and high-level executive support, managing confidential and critical academic and administrative matters. This role requires exceptional time management skills, attention to detail, professionalism, independent judgment, and discretion to ensure the efficient operation of the Vice President's office. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate. Must be able to work remotely at the request of the University.
Key Responsibilities:
Advanced Executive Support: Deliver direct administrative support by managing complex and sensitive correspondence, proactively addressing issues, scheduling meetings and appointments, and ensuring that the Vice President’s calendar is optimized for strategic priorities. Anticipate the needs of the Vice President and detailed itineraries ahead of meetings and travel.
Strategic Communication: Serve as the primary point of contact for the Vice President’s office, managing communications with internal and external stakeholders. Facilitate communication across departments to ensure alignment and timely information flow.
Action Item Management: Track and manage action items, projects, and initiatives for the Vice President, ensuring timely follow-through. Regularly update the Vice President on the status of key projects and any potential issues.
Document Preparation: Draft, review, and manage high-level documents, reports, briefs, and presentations, ensuring that all materials are accurate, polished, and aligned with the Vice President’s strategic objectives. Seek out and prepare meeting documents for the Vice President that include meeting goals, priorities, and agendas.
Office Management: Oversee day-to-day office functions, including the monitoring of budgets and fiscal records. Implement and manage office systems and processes to ensure maximum efficiency and support the strategic goals of the office.
Confidentiality and Discretion: Handle all matters with the highest level of confidentiality and professionalism, exercising sound judgment in managing sensitive information.
Required Education and Experience:
Bachelor's degree in applicable field or equivalent combination of education and experience.
Four years of related administrative support experience in a professional office environment.
Knowledge, Skills and Abilities:
Demonstrated proficiency in word processing, spreadsheet, and presentation software applications.
Excellent interpersonal and communication skills, both written and verbal.
Strong organizational and planning skills, with the ability to prioritize and multitask effectively.
Commitment to confidentiality, discretion, and independent judgment.
Salary
Commensurate with experience
The target base annual salary is commensurate and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
