The Talent Acquisition Operations Lead is an Operational and hands-on role responsible for overseeing and driving the operational excellence of the talent acquisition function within an organization. This position focuses on leading a team, managing end to end onboarding activity, implementing scalable solutions, and optimizing the candidate experience. The lead collaborates closely with cross-functional stakeholders, including recruiters, HR teams, and hiring managers, to ensure the seamless execution of talent acquisition strategies.
Key Responsibilities:
Team Leadership: Provide leadership, guidance, and mentorship. Set clear performance expectations, conduct regular performance evaluations, and foster a culture of continuous improvement and collaboration.
End-to-End Process Management: Oversee and optimize end-to-end onboarding processes. This will include, background check completion, contract management and all associated hiring activity, collation of relevant documentation required for onboarding, etc. Ensure processes are streamlined, efficient, and aligned with best practices.
Applicant Tracking System (ATS) Management: Manage the administration, configuration, and optimization of the applicant tracking system. Collaborate with IT and vendor partners to ensure the ATS meets the organization's recruitment needs and compliance requirements. Provide training and support to users.
Reporting and Analytics: Develop and maintain recruitment metrics and analytics reports to measure the effectiveness of talent acquisition strategies, track key performance indicators (KPIs), and provide actionable insights. Utilize data-driven approaches to identify trends, optimize processes, and drive informed decision-making.
Compliance & Policy Adherence: Ensure compliance with relevant labor laws, regulations, and company policies throughout the talent acquisition process. Collaborate with legal and HR teams to establish and update policies, procedures, and practices in alignment with compliance requirements.
Audit activity: Management of audits associated to all Talent Acquisition activity - this will include internal, external and client audits. It will involve collation and presentation of relevant information and documentation, ensuring adherence to relevant requirements.
Technology and Tool Management: Evaluate, implement, and manage recruitment technologies and tools to enhance efficiency and effectiveness. Stay updated on industry trends and emerging technologies, and make recommendations for adoption to improve recruitment operations.
Vendor Management: Manage relationships with external vendors, such as, background check providers, assessment vendors, payroll providers, etc
Candidate Experience: Drive initiatives to enhance the candidate experience, ensuring a positive and consistent journey from application to onboarding. Collaborate with recruiters, hiring managers, and HR teams to implement strategies that foster engagement, communication, and feedback throughout the recruitment process.
Continuous Improvement: Foster a culture of continuous improvement, innovation, and operational excellence within the talent acquisition function. Identify opportunities to streamline processes, reduce time-to-fill, and enhance the quality of hires through process enhancements, automation, and best practices.
Qualifications and Skills:
Significant experience in talent acquisition, recruitment operations, or a related field, with a focus on onboarding, process optimization and team management.
Strong knowledge of onboarding activity, applicant tracking systems (ATS), and recruitment technologies.
Demonstrated leadership capabilities, with experience in managing and developing teams in a fast paced environment.
Proficiency in data analysis, metrics reporting, and utilizing recruitment analytics to drive insights and improvements.
Strong understanding of employment laws, regulations, and compliance best practices. Experience with audit activity ensuring all candidates are fully compliant with all relevant standards.
Excellent communication, collaboration, and stakeholder management skills.
Project management expertise, including the ability to lead and execute complex projects with cross-functional teams.
Innovative and forward-thinking mindset with the ability to improve processes, staying updated on industry trends and emerging technologies to drive recruitment excellence.
