What you'll be doing

  • Act as a primary point of contact for ad hoc requests related to the ArtiQ legal entity and provide professional and efficient assistance.

  • Conduct research, gather data, and compile reports on various topics to support decision-making processes – helping out with the groundworks and analysis for any business-related project.

  • Prepare and edit reports, presentations, and other documents with a high level of accuracy and attention to detail, mainly linked to business operations of Digital Physiology.

  • Assist in the coordination and execution of special projects and initiatives, working collaboratively with cross-functional teams to achieve objectives.

  • Collaborate with HR Global and assist with onboarding/offboarding employees, managing employee records, payrolling and ensure compliance with company policies.

  • Ensure incoming invoices are processed and paid on time and follow up on outgoing invoices to ensure timely payments. Work closely with the finance department to support accurate financial reporting.

  • Maintain and organize electronic and physical files, ensuring easy retrieval and efficient document management.

  • Represent the company professionally in interactions with external stakeholders, including clients, partners, and vendors.

  • Scheduling and coordinating of meetings, appointments, events and make the necessary travel arrangements for the local ArtiQ team as well as the broader Clario team for visits to Belgium.

Other responsibilities:

  • Proactively identify and resolve administrative issues, streamlining processes and improving efficiency.

  • Manage office supplies and oversee the office’s physical appearance and functionality.

What we look for

  • Bachelor's degree in business administration, office manager or a related field is preferred

  • Proven experience in a supporting role or similar role is a plus.

  • Ability to handle confidential and sensitive information with the utmost discretion, maintaining a high level of professionalism and confidentiality at all times.

  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Strong attention to detail and accuracy in document preparation, data entry, and communication.

  • Proficient computer skills, including advanced knowledge of MS Office (Word, Excel, PowerPoint) and calendar management tools and the interest do dig into new digital tools that can increase efficiency of the processes and the team (ChatGPT, etc.)

  • Excellent written and verbal communication skills, with the ability to interact confidently and professionally with individuals at all levels.

  • Strong problem-solving skills and the ability to anticipate needs, take initiative, and make sound judgments.

  • Flexibility and adaptability to accommodate to changing priorities and demands.

  • A proactive and positive attitude, with a commitment to providing exceptional support and service and eagerness to learn on the job.

  • Fluent in Dutch and English
