The Senior Executive Assistant to the CEO is responsible for providing advanced, high-level administrative support to the CEO, playing a key role in ensuring smooth operations and supporting strategic objectives. This role requires exceptional organizational skills, strategic vision, and the ability to manage high-level relationships. The ideal candidate will have extensive executive support experience, excellent communication skills, and a proactive approach, adding value through operational efficiency and stakeholder management.
Responsibilities:
- Demonstrate a deep understanding of the company’s mission, vision, and objectives to ensure perfect alignment of activities and drive consistent progress toward organizational goals
- Provide high-level analytical support, synthesize data, and present information to facilitate executive decision-making
- Identify and resolve issues proactively, offering solutions to ensure work continuity and minimize disruptions
- Manage and prioritize the CEO's agenda, including scheduling meetings, resolving scheduling conflicts, and coordinating with internal and external contacts
- Ensure the CEO is informed of all commitments and prepared for upcoming events
- Make independent decisions in key areas, using sound judgment to act on behalf of the CEO when necessary
- Serve as a liaison between the CEO and government representatives, regulatory bodies, and other key stakeholders
- Draft, proofread, and translate various documents (invitations, presentations, correspondence, memos, etc.)
- Prepare expense reports and follow up on approvals
- Organize and oversee complex travel itineraries, accommodations, and logistics for domestic and international travel
- Track decisions and actions taken by the CEO, ensuring follow-up and implementation
- Assist the CEO with personal tasks as needed to allow focus on strategic responsibilities
- Support office management activities, from coordinating facilities to managing supplies and resources, as needed
- Any other related tasks as required
Requirements and Skills:
- University degree or equivalent experience preferred
- Minimum of 5 years of experience supporting senior executives
- Experience in an environment where the executive team is spread across multiple sites/regions. (an asset)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools (Zoom, Microsoft Teams, etc.)
- Proficiency in Nitro Pro
- Perfect bilingualism (oral and written)
- Excellent grammar skills (French/English)
- Discretion and respect for confidentiality
- Exceptional organizational, time management, and prioritization skills
- Strong judgment, initiative, and autonomy
- Flexibility and teamwork skills
- Proactive with a keen attention to detail
- Positive attitude and problem-solving approach
