The Patient Recruitment and Engagement (PRE) team specializes in clinical study patient recruitment and retention and is an extension of the clinical team. Additionally, the team may focus on standalone projects to develop customized global recruitment and retention strategies and manage and execute implementation of all chosen activities.

The Project Coordinator will serve as an entry level position and a critical support function to the PRE team to help ensure successful, timely, and quality delivery. You will be responsible for developing and maintaining study documents relating to recruitment and retention activities utilizing appropriate company systems.

The Project Coordinator will work with the Patient Recruitment Managers to ensure that projects are completed in accordance with contract and client expectations. This is a unique opportunity for someone looking to develop their career towards being a Patient Recruitment Manager.

Responsibilities

  • Provide day to day support to the PRE team so as to effectively enhance the efficiency and conduct of clinical studies
  • Execute on administrative tasks following guidance from Patient Recruitment Managers and other colleagues
  • Support Recruitment Managers with study start up activities for assigned studies.
  • Owner and be responsible for the supply, tracking and delivery verification of shipment of recruitment and retention materials
  • Work closely with global team to ensure appropriate documentation is in place and meets version control standards. Maintain tracking of version controlled study specific recruitment and retention materials including organization of relevant translations, in line with budget.
  • Track, organize, coordinate and submit documents for translation and localization within Fortrea SOP guidelines
  • Ensure eTMF filing is compliant with Fortrea standards, ensure all documents are placed in the eTMF per requirements so eTMF is always in an audit ready state
  • Be a self-starter and be able follow specific and detailed instructions, support recommendations for enhancement of instructions or procedures
  • Collaborate with Recruitment Managers to support the proactive compilation of study specific and portfolio wide metrics or Key Performance Indicators (KPI) for analysis
  • Ability to prioritize workload appropriately and conform to established processes, with a focus on quality and delivery. Must have a demonstrated ability to handle multiple competing priorities effectively
  • Ability to set up and/or modify tools and processes, make recommendations on enhancements of tools for consideration by leadership
  • Liaise with study sites and team members on patient identification and referral management status
  • Perform other administrative duties as assigned by management

Experience

  • Relevant administrative work experience, ideally with strong IT skills and experience working with Microsoft Excel
  • Experience relating to patient recruitment or more broadly, clinical trial administration, would be advantageous
  • Financial and cost management exposure
  • Good verbal and written communication skills
  • Aptitude for handling and reviewing numerical data
  • Excellent organizational and time management skills
  • Works efficiently and effectively in a global, matrix environment
  • Team player
