The Medical Operations Associate provides primary operational support to various programs within Pfizer Worldwide Research, Development & Medical (WRDM) group which include but not limited to Publications operations and Clinical Trial Data Sharing (CTDS) request operations.
The major responsibilities include but not limited to:
Maintaining systems, Share Point sites and databases used for program management and operational excellence.
Perform quality control procedures on data requests to data package issuance, publications related documents & system data according to corresponding Pfizer SOPs and guidelines.
Process financial transactions and drug study data as requested.
The Medical Operations Associate will work closely with program and team leaders with necessary communication and coordination to ensure efficient program process and compliance.
The support areas of Publications include but not limited to:
Support publication activities by completing watch list checks and related forms, in relation to determining if external manuscript authors are included on any debarment watch lists, as per publication SOP.
Assist with access request to the Publication application to internal and external stakeholders by ensuring that appropriate training has been completed for the requested role.
Assist with contracting with external partners by ensuring that appropriate deliverables and clauses have been captured for the requested work and finalized.
In partnership with the Publication Specialists and Publication Sr. Manager of Operations, verify the management of monthly invoice processing from publication vendors (~200 invoices/month), including reconciliation of application records and confirmation of receipt of deliverables, and data capture prior to invoice payments.
In partnership with the Publications Sr. Manager assist with data quality review and process control to ensure compliance with publication SOP.
Ensure tracking log is always complete and current.
Metrics from each optimization activity will need to be captured in reports and dashboards so that efforts can be measured and tracked to identify future process improvements.
Maintenance of job aids to ensure process controls are aligned and current.
This role will also support the training of Pfizer colleagues in best practices. This might include ‘train the trainer’ sessions with Pfizer colleagues and vendors. Work with IMOS leadership to ensure requests are managed appropriately and timely.
The support areas of Clinical Trial Data Sharing include but not limited to:
Verify accreditation of the organization level or at the activity level when applicable and review request for accuracy and completeness.
Verification of request review process including documents.
Ensure tracking log is always complete and current.
Partner with medical reviewers and approvers to set timely milestones.
Work with Program Manager to ensure requests are managed appropriately and timely.
Assists Program Manager with status report, queries, and other logistic support as required.
Partner with global team and contribute to process and business technology improvement projects within areas of responsibility, as requested.
Qualifications
Bachelor’s degree (BA, BS) required with preference for a focus in science, healthcare, or related field.
Excellent writing skills and ability to edit, summarize and interpret complicated content effectively and concisely for better understanding.
High fluency in written English and strong functional fluency in spoken English.
Strong organizational skills, attention to detail, and ability to prioritize multiple projects and meet deadlines.
Ability to take initiative and work independently.
Operational experience in clinical trial management or healthcare industry (pharmaceuticals, life sciences, and medical).
Software: Excellent command of Word, PowerPoint, Excel is preferred.
Demonstrated effectiveness working in a multidisciplinary, matrix team situation, and demonstrated ability to manage change and diversity.
