Recruitment Coordinator

POSITION SUMMARY
Provides administrative and operational support to the Senior Recruiter and Human Resources team in coordinating recruitment and onboarding activities. Serves as a point of contact for candidates, hiring managers, and staffing partners to ensure a smooth, efficient, and compliant hiring process for employees, travelers, and contingent workers.

PRINCIPLE DUTIES AND RESPONSIBILITIES

- Supports the Senior Recruiter in coordinating recruitment activities across departments
- Maintains Human Resources Information System (HRIS) data related to recruitment and hiring processes
- Assists hiring managers with clerical aspects of recruitment processes in alignment with established policies and procedures
- Assists with posting job requisitions to internal and external platforms
- Coordinates interview scheduling, candidate communication, and logistics on behalf of the Senior Recruiter and hiring managers
- Assists with offer preparation and coordinates pre-employment steps
- Assists with onboarding activities for new hires, including background checks, orientation scheduling, and required documentation
- Provides coordination support for traveler and contingent worker recruitment processes
- Assists with communication between staffing agencies, candidates, and hiring managers
- Tracks submissions, interview scheduling, and onboarding requirements for agency and temporary staff
- Coordinates onboarding requirements (e.g., licensure, background checks, health clearances) to ensure timely start dates
- Maintains documentation and tracks compliance requirements for traveler and contingent workers
- Assists with scheduling orientation and assignment start logistics
- Processes new hire, traveler, agency, and temporary employee paperwork to support timely onboarding
- Supports the process for internal employee status changes (e.g., transfers, changes in hours)
- Acts as a support liaison with employment agencies, traveler staffing firms, and vendors
- Assists with recruitment advertising and job fair coordination
- Coordinates travel arrangements for candidates and incoming travelers as needed
- Performs clerical tasks related to screening volunteers and students
- Greets and assists applicants, visitors, physicians, and staff
- Compiles recruitment data and assists in preparing reports and tracking metrics
- Maintains recruitment and onboarding materials and packets
- Performs general clerical duties (phones, correspondence, filing, administrative support)
- Performs other duties as assigned
SKILLS AND ABILITIES

- Demonstrates the ability to operate standard office equipment
- Demonstrates strong organizational and coordination skills with attention to detail

- Exhibits the ability to interact professionally with candidates, staff, and external partners
- Maintains confidentiality and handles sensitive information appropriately
- Maintains regular, consistent and punctual attendance
- Ability to manage multiple tasks and priorities in a fast-paced environment
EDUCATION/CERTIFICATIONS/LICENSES/DEGREES

- High school diploma or equivalent required
- Bachelor’s degree in Human Resource Management or related field preferred
- Basic medical terminology preferred
EXPERIENCE

- Minimum 1-2 years of administrative or coordination experience required, preferably in HR, recruitment, or healthcare setting required
- Previous customer service experience
- Recruiting experience preferred
