JOB SUMMARY:
The Administrative Associate supports the Special Needs Ministry Pastor, volunteers, and participants in all ministry related activities and events. We are looking for someone with a heart to serve those with disabilities, is detail oriented, plans ahead, and has the ability to work collaboratively. This position requires work in both an office setting and physical workspaces such as ministry events, storage rooms and common areas. If you are comfortable balancing desk work with light cleaning, setting up/flipping rooms, organizing tasks, and working with volunteers, this may be the job for you!
JOB DUTIES:
- Provide administrative and clerical support to the Special Needs Pastor and maintain the cleanliness, upkeep, and organization of our ministry events.
- Support the Hand of Hope Center with multiple aspects of administration, hospitality, and volunteerism.
- Provide customer service by answering calls, emails, and verification requests.
- Prepare, edit, and update ministry data, documentation, and forms for volunteers and participants. This includes:
- Consent forms, liability forms, doctor prescriptions, registration forms, etc.
- Organize, manage, and report supplies of ministry resources and inventory (i.e. wheelchair donations, etc.)
- Manage some aspects of the ministry calendar and support with the planning, executing, setup, teardown, and clean up of all ministry events. This includes:
- Shadow ministry, therapeutic riding, art & abilities, signing/deaf, prayer partners, Christmas and Easter events, food outreach and fellowship, summer day camp, respite, access deeper, wheelchair ministry, virtual ministry, Friendship Ministry, Serve1st, etc.
- Ensure that common areas such as rooms, restrooms, and kitchens are clean, stocked with appropriate supplies and well-maintained.
- Perform routine cleaning tasks such as dusting, vacuuming, mopping, laundry, emptying trash bins, and ensure proper disposal of recycling and waste.
- Assist with volunteer recruitment, onboarding, registration, training, and care for the special needs ministry and prayer partner ministry.
- Maintain ministry participant database current by utilizing our electronic data system.
- Assist with creating a safe experience for volunteers and participants during ministry programs and events.
EDUCATION:
- High School Diploma or equivalent
- Bilingual in English and Spanish (written and verbal)
- CPR Certification preferred
RELEVANT WORK EXPERIENCE:
- 1-3 years of relevant experience
- Ability to manage time effectively and prioritize tasks between administrative duties and cleaning/upkeep responsibilities.
- Ability to lift 25+ lbs and perform physical tasks related to set up and tear down, cleaning and organizing.
- Ability to stand, walk, and bend for extended periods.
JOB SPECS:
Classification: Part-time (25 hours), Hourly (Non-Exempt), including Saturdays, Sundays, and some evenings
Reporting to: Special Needs Pastor
